CROMC is looking for a high-energy, detail-oriented, and well-organized Extended Term Temporary (ETT) to support the management team (Director and Managers). He/She will work under the supervision of the Financial Analyst. Period is for one year from May 1, 2024 to April 30, 2025, renewable for another year, with a three-year ET lifetime maximum.
 
Duties and Accountabilities:
 
• Work with a high level of discretion in providing comprehensive administrative assistance in setting and managing priorities and work-flow of the Director, as well as, administrative coordination within and across the department. This includes, but not limited to scheduling appointments, independently resolving scheduling conflicts in Managers’ calendars.
• Provide logistical support in organizing meetings and other events, attend meetings, record minutes and ensure appropriate follow-up as necessary, ensure that relevant background materials are available for meetings.
• Provide general research support to the Director on a diverse range of topics. This entails independently assessing tasks, inquiries and requests, determining and finding additional information that may be required.
• Provide overall guidance and support in the design and implementation of an effective monitoring, tracking, filing and retrieval system for the Director’s office and the department.
• Coordinate and monitor multiple and diverse work processes, ensuring appropriate follow-up to meet deadlines; ability to multi-task and work well under pressure is essential.
• Monitor leave and attendance (LARS) of staff, including monthly monitoring of TRS.
• Monitor and update the department’s work program/workflow.
• Encourage and maintain a high level of teamwork and inspire trust throughout the Department by keeping others informed via timely dissemination of relevant information, and report on status updates.
• Exercise independent judgment by bringing potential problems to the attention of the Director.
• Familiarity in submitting eServices and AdminPortal requests (collect and input data for procurement of goods and services, including monitoring status of requests).
• Knowledge in Sharepoint and other Bank applications, SAP knowledge and working experience is a plus.
• As the first line of contact with an extensive network at the most senior level both internal and external visitors/callers, the ETT is expected to exercise judgement, tact and discretion in answering and/or redirecting inquiries to appropriate sources and in dealing with sensitive or highly confidential matters, making decisions when multiple courses of action are possible.
• Establish and maintain an effective network of contacts both inside and outside the VPU to ensure effective cooperation in support of office needs.
• Update Distribution Groups Lists.
• Replenish office supplies and maintain orderliness of office environment.
• Plan and arrange travel logistics for conferences, missions and trainings. Task includes flight booking, visa processing, hotel reservation, SOE, etc. whenever applicable.
• Proficient with Microsoft Office, Teams, Outlook, and other standard bank software.
• Work closely with the other ACS colleagues in CRO and serve as back up as needed.
• Respond to requests and perform other tasks that may be requested by other team members from time to time.

 

Selection Criteria

 

• Bachelor’s degree (preferred) in Accounting, Finance or related field, and a minimum of at least 3 years of entry-level professional experience or equivalent combination of education and experience;
• Well-organized, self-motivated, highly efficient, and dependable individual, with a demonstrated ability to manage multiple priorities;
• Experience providing administrative support to senior colleagues;
• Demonstration of initiative, independence and autonomy in addressing client needs in changing business contexts and environments;
• High level of proficiency in office technology including Word, Excel, PowerPoint and Outlook; familiarity with SAP preferred;
• Excellent interpersonal skills and high level of discretion in dealing with sensitive and confidential correspondence and information;
• Applicants have strong interpersonal, networking, and social skills, proven team orientation, and ability to work across unit and department boundaries with ease;
• Ability to handle and adjust to a variety of concurrent demands and pressure;
• Leverages external knowledge and partnerships to strengthen solutions for internal and/or external clients;
• Encourages a learning culture by seeking out and being open to feedback, on how to improve contribution and impact through continuous learning and knowledge acquisition; and
