Position Overview
The Accounts receivable specialist performs a vital role within the finance the team, maintaining award, billing and cash receipt records.
This position is based in Washington, DC (hybrid schedule).
Essential Functions
Awards and Reconciliation
- Review awards and understand applicable terms and conditions to ensure compliance at all times.
- Setup new Awards in NetSuite
- Ensure that all revenue and expense reporting features are setup for all awards including Project ID, Department, Program Area
- Create and maintain billing schedules for awards
- Setup indirect cost structures for awards
- Register and set-up account in donor portal and maintain user credential of various portals.
Life of Award Support
- Ensure payments are received as per the award terms and condition.
- Prepare donor reports and invoices, obtain program staff approval, and submit to donor. Ensure timely receipt of funds from donor.
- Ensures award receivables, grantee payables, and other related balance sheets accounts are accurately recorded and reconciled.
Grants Tracking
- Review grant agreements and understand applicable terms and conditions
- Setup new Grants in NetSuite
- Ensure that all expense reporting features are setup for all grants including Award, Project ID, Department, Program Area
- Create and maintain payment schedules
Other Duties and Responsibilities
- Record cash receipt transactions on a weekly basis
- Support UNF’s donor stewardship efforts by investigating donor inquiries
- Support UNF’s matching gift and donation process by managing UNF’s matching gifts inbox and donations inbox by categorizing items
- Assist with audit preparation and with month-end closings.
- Other duties as assigned.
Selection Criteria
- Bachelor’s degree in Accounting, Finance, or related field.
- At least one year of related experience.
- Familiarity with Project Accounting and Revenue Recognition.
- Proficiency in MS Office Applications (Word, PowerPoint, Outlook, Excel).
- Excellent verbal, interpersonal, and written communication skills.
- Strong problem-solving and decision-making capabilities.
- Must have the ability to organize, prioritize, and have time management skills.
