The IC will be assisting, coordinating, and monitoring cross-cutting activities between Technical Sections and SCM Pillar related to AMS portfolio.

Duties and Responsibilities

The position is located in the United Nations Support Office in Somalia (UNSOS) within the Acquisition Management Section. The incumbent will be based in Nairobi and reports to the Unit Chief.
Within the delegated authority, the Acquisition Management Assistant will be responsible for the following duties:

• Prepares requisitions for diverse services and commodities in a timely manner in accordance with the mission policies and procedures, including contracts, Standard Operating Procedures (SOPs), guidelines and instructions, governing the requisitioning and procurement process.
• Monitors status of requisitioning and procurement processes of assigned categories, resulting into an optimal delivery schedule to meet mission’s requirements.
• Prepares delivery / inbound cargo reports and ensures its distribution to all concerned parties.
• Facilitates and coordinates customs formalities for UN cargoes.
• Facilitates movement of cargo from airport/seaport to UNSOS designated warehouse.
• Assist in setting the necessary Inventory/warehouse planning levels for safety stock and replenishment points.
• Plan inventory flow, analyse statistical data, and communicate forecast and inventory estimations to stakeholders.
• Provide information regarding stock levels, usage rates, economic order quantity, re-order point and other stock-level advice.
• Review physical count results and takes the necessary actions to address count discrepancies.
• Coordinate and prepares ad-hoc, periodic and annual physical count activities for Inventories and Warehouse managed inventories.
• Monitor the Umoja (UN ERP tool) and BI Dashboards, ensuring anomalies are identified and addressed immediately.
• Liaises with internal stakeholders, such as the technical units within Operation Resource Management (ORM), Service Delivery (SD) and Supply Chain Management (SCM) Sections.
• Liaises with Procurement Section regarding the procurement process for raised requisitions and maintains relevant internal databases and overviews in order to keep track of outstanding requisitions and keeps the various stakeholders informed of their status.
• Prepares, compiles and maintains weekly reports and statistics.
• Performs other duties as and when required.

Qualifications/special skills

High school diploma or equivalent is required.
At least three (3) years of working experience in logistics, supply chain, or administration is required.

Languages

English is the working language of the United Nations. For this job, fluency in both verbal and written English is required.
