CHAI was founded in 2002 in response to the HIV/AIDS epidemic with the goal of dramatically reducing the price of life-saving drugs and increasing access to these medicines in the countries with the highest burden of the disease. Today, along with HIV, we work in conjunction with our partners to prevent and treat infectious diseases such as COVID-19, malaria, tuberculosis, and hepatitis. Program and Position Overview

CHAI started supporting Indonesia’s Ministry of Health in 2008 to scale up adult anti-retroviral therapy, through improving supply chain management; as well as technical assistance for improving the quality of ART and laboratory systems to support HIV care and treatment. In recent years, CHAI has expanded its support to the Ministry of Health to other areas including hepatitis and helping to facilitate BMS to and donate pan genotyping DAA, daclatasvir, more effective treatment for HCV patient, improving access to family planning, point of care diagnostics, m-health, maternal and child health, scooping assistive technology in Indonesia so no one left behind, and technical support for the Ministry of Health’s drive to sustainably fund healthcare. In mid-2016, CHAI launched its vaccines program to support the EPI and Ministry of Health in Indonesia introduce the Pneumococcal Conjugate Vaccine (PCV) and strengthen broader immunization systems, including cold chain, supply chain, and immunization financing, among other things. From 2017-2020 CHAI supported the government execute a PCV demonstration project in select districts as well as support national-level decision-making on PCV introduction.

CHAI Indonesia is currently seeking an Admin & HR Assistant. Based in Jakarta, the Admin & HR Assistant, under the supervision of the Finance Lead and Deputy Country Director, provides administrative support on recruitment, HR database management, payroll management, filing compiling personnel records, finance, and program administrative support.

Responsibilities

  • Prepare and follow up HR documentation including insurance, recruitment, employee status change, leave request, disciplinary actions, and employee exit clearance.
  • Maintain and keep employee database updated.
  • Assist on the preparation of renewal staff contract in preparing PAF, JD, employee ID card and filing employee data summary and documents.
  • Assist DCD in preparation of performance evaluations, staff development needs, increment of staffs and file accordingly.
  • Assist DCD in recruitment process, reviews candidates and prepare staff contracts.
  • Assist DCD in developing and updates finance compliance manual and other internal policy/procedure related to HR.
  • Prepare inputs and coordinate with Country leadership for decision of office contract extension and coordinate with the owner.
  • Assist Finance Lead in reviewing FA’s work: bank payment in internet banking, check payment, reimbursements, advances, and payments to vendors/suppliers/partners prior to payment, and maintain payment plan and benefits program.
  • Coordinate with global HR and Program Manager for position being sought in the recruitment process, selection process, interview schedule, job offer, and hiring process.
  • Prepare all documents needed for new hiring i.e. CoC, CI, S&S, contract, PAF, CR, insurance; announcement introduction to all staff including email and contact, develop on-boarding schedule.
  • Maintain annual leave calculation for all staff.
  • Assist in the dissemination of human resources and administrative policies, procedures and manuals to all staffs.
  • Assist Program Administrator in preparing Program Activity.
  • Assist Finance Administrator to collect document payment, filing and scan documents if needed.
  • Other duties as required.

Qualifications

  • Bachelor’s degree in psychology, management or finance.
  • 2-3 years of working experience; experience in the same position and in an INGO is preferable.
  • Ability to handle multiple tasks simultaneously, set priorities and work independently.
  • Strong written and oral communications skills.
  • Good computer skills in Microsoft Word, Excel, and PowerPoint.
  • Fluent in English language, both speaking and writing.
