The purpose of the Admin Technical Assistant position is to assist in the day-to-day implementation of the HR and Admin functions responsibilities. The position holder will assist the Crisis Management Team and the Country Management Group by recording meeting minutes, assist the management group in scheduling meetings, book meeting rooms.
- Provide administrative support: Perform general administrative tasks such as managing correspondence, scheduling appointments, coordinating meetings, preparing agendas, taking minutes, and maintaining calendars for country management group. Maintain CMG MoM, action points and decision tracker.
- Perform the role of Log Keeper in the Crisis Management Team: Maintain accurate log, Manage and maintain sensitive and confidential information, ensuring it is handled securely and in compliance with the NRC policies and procedures.
- Maintain confidentiality: Uphold strict confidentiality in dealing with sensitive information, including personnel matters, CMT Log and CMG meeting minutes.
- Assist in submitting purchase requisitions for the HR and Admin Unit and follow up with the Procurement and Finance units until delivery of goods and services and completion of payments.
- Asist in responding to phone calls and follow up on inquiries, and welcome visitors.
- Assist the HR and Admin team by collecting, scanning and filling documents ensuring proper data protection.
- Assist in reviewing the HR and Admin unit archive to ensure proper filling of valid documents, and disposal of documents as per the internal policies and procedures.
- Assist in managing the supplies stock by maintaining the storage room in order.
- Any other tasks and support to assist the HR and Admin Team as deemed necessary.
- Two years of experience in a similar position.
- Bachelor’s degree in business administration or any other relevant field.
- Knowledge and experience working in an organizational context (preferred)
- Documented results related to the position’s responsibilities
- Very good knowledge of English, writing and speaking.
- Ability to travel throughout the West Bank and East Jerusalem
