JOB DETAIL

ICRISAT seeks applications from Mozambique nationals for the position of Senior Executive – Finance and Administration .The position will be based at Mozambique, and report to the Country Representative – ICRISAT Mozambique.

 

ICRISAT is a non-profit, non- political organization that conducts agricultural research for development in Asia and Africa with a wide array of partners throughout the world. Covering 6.5 million square kilometers of land in 55 countries, the semi-arid or dryland tropics has over 2 billion people
and 644 million of these are the poorest of the poor. ICRISAT and its partners help empower these disadvantaged populations to overcome poverty, hunger and a degraded environment through better agricultural production systems.
The International Crops Research Institute for the Semi-Arid Tropics (ICRISAT) is a pioneering, international scientific research for development organization, specializing in improving dryland farming and Agri-food systems. The Institute was established as an international organization in 1972, by a Memorandum of Agreement between the Consultative Group on International Agricultural Research and the Government of India.
ICRISAT works with global partners to develop innovative science backed solutions to overcome hunger, malnutrition, poverty and environmental degradation, serving the 2.1 billion people who reside in the drylands of Asia, Africa and beyond. The Institute is headquartered in Hyderabad, Telangana, India and has regional centers in Mali and Kenya, with dedicated research stations in Niger, Nigeria, Malawi, Ethiopia, Zimbabwe, Mozambique and Senegal.
The Key responsibilities are:
  • Create and update spreadsheets of daily transactions
  • Manage accounts receivable and payable
  • Review and process reimbursements
  • Prepare the country budgets in alignment with research activities
  • Maintain reports on financial metrics/transactions
  • Keep records of invoices and facilitate tax payments
  • Manage ICRISAT’s liabilities (e.g., insurance premium) and Assets in Mozambique
  • Identify and address account discrepancies
  • Participate in payroll processes for the country staff
  • Maintain cash box and make payments following approvals
  • Perform periodic cash counts and submit reports to HQ

Staff travels:

 

  • Coordinate travel arrangements for ICRISAT staff, collaborators and visitors (tickets, airport transfers, visas, hotels, etc.
  • Support the preparation of travel claims by ICRISAT Staff.
Procurement and Asset management:
  • Facilitate the procurement processes in the country office e.g., source quotations, prepare bids and obtain all necessary approvals; maintaining stores and preparing monthly reports; managing stationery.
  • Manage ICRISAT’s liabilities (e.g., insurance premium) and Assets in Mozambique
  • Maintaining up-to-date office assets register, ensuring tagging, and insurance of the same.
Support to country Representative:

 

  • Receive, screen, log and route correspondence, attach necessary background information and maintain an efficient follow-up system.
  • Managing the Country Representatives agenda including updating calendar of events, meetings, appointments, travel plans, and bookings.
  • Arrange appointments and receive visitors on behalf of the Country Representative.
  • Verify appropriateness of documents for the Country Representatives authorization and signature.
  • Prepare agendas for and minutes of meetings.
  • Participate in coordination of periodic staff meetings and developing minutes for the same.
  • Follow up on information tasks and requests on behalf of the ICRISAT Country Representative.
The eligibility criteria includes:
Competencies:
  • Degree in Business Administration/Management or other relevant subjects with proven office management and personal assistant/ secretary skills.
  • Should have attained a minimum of CPA II.
  • Proven capacity to handle complex financial and accounting systems.
  • Proven capacity and experience as a personal secretary in executive email and agenda management.
  • At least two (2) years of relevant work experience in a closely related field International Organization and experience with donor-funded projects.
  • Prior experience with donor-funded projects, and international research for development organizations.
  • High level of computer skills and ability to learn new applications quickly.
  • Excellent oral and written English and Portuguese communication skills.
  • Must be able to work independently with minimal supervision, but also participate as a team member in accomplishment of duties.
  • Possess excellent interpersonal and communication skills, good judgment and a high level of respect for confidentiality.
  • Strong ability to coordinate, prioritize and organize workload; is flexible and able to work under pressure.
  • Highly effective planning, organizational and multi-tasking skills with a positive attitude and strong administrative service orientation.
  • Ability to work in a multi-cultural environment.
