THE OPPORTUNITY

 

Plan International Philippines is looking to engage an Administration Officer who will provide the necessary logistics and admin processes to ensure efficient and effective program delivery implementation.

 

The post-holder will process the documentation for travel and accommodation requirements of international and local staff and partners if needed. He/She will also provide better management reporting, information flow, and management of Travel Data reports.

 

As the Administration Officer:

 

  • You will process and encode the Purchase Request and Request for Quotation for all air ticket requests (local and international) and hotel accommodation.
  • You will collect and analyze the business data from various offices to prepare the Country Travel Data report and submission to the Global Hub.
  • You will assist and facilitate the maintenance of office premises, equipment, utilities, furniture, and fixtures.
  • You will manage various administrative tasks of the Country Office, when necessary.
  • You will coordinate and attend committee meetings, and participates in committee discussions, as appropriate.
  • In exceptional cases, you may be asked to support emergency response activities in the communities covered by our work.

 

To be successful in this role you will need among other things:

 

  • Graduate of any four-year course relevant to the role.
  • Five years of experience in office management, procurement, and administration, with a background in SAP processes and procedures.
  • Able to work independently and as a team player and able to demonstrate leadership and support to local and international staff.
  • Proven ability to work with trustworthiness and integrity and a clear commitment to the organization’s core values and humanitarian principles.
  • Able to communicate clearly and sensitively with internal and external partners and stakeholders. Strong ability to follow oral and written instructions properly.
  • Experience and the ability to live and work in diverse cultural contexts, in a culturally appropriate manner.
  • Applicants must be based in the Philippines and Filipino nationals.
