Org. Setting and Reporting
The position is located in the Office of the Director of the Outreach Division in the Department of Global Communications. The Outreach Division’s activities include UN publications, services to visitors, advocacy and special events, NGO relations, and iSeek. The Division also includes the Dag Hammarskjöld Library. The incumbent reports to the Associate Administrative Officer and the Deputy Director for Administration and Management.
Responsibilities
Within delegated authority, the Administrative Assistant will be responsible for the following duties:
• Monitor expenditures versus allotment on a regular basis and compare with Umoja records. Update budget balances and request redeployments when necessary;
• Review requisitions and of goods and services, provide corresponding chargeable account codes;
• Provide assistance in preparation of programme performance reports and other Umoja/SMA compliance submissions by the Division;
• Consolidate and compile data from all sections of Outreach Division for budget submissions, trust fund projects, and income generating activities;
• Assist in preparation of Division’s sub-allotments to Sections;
• Maintain budget and financial records of the Division;
• Coordinate Trust fund project requirements and submissions;
• Prepare statistical tables and reports as necessary.
• Review and manage requests for individual contractors and the recruitment of interns;
• Provide general administrative support to the Deputy Director of Administrative and Management;
• Coordinate and liaise closely with Division Section Chiefs and Administrative staff and the Executive Office of DGC;
• Review and follow up payments to vendors;
• Review section requisitions and ensure availability of funds for each request;
• Coordinate and process travel requests and requests for reimbursement.

Education
High school diploma or equivalent.
Work Experience
A minimum of five (5) years of experience in administrative services including budget preparation, finance, accounting or related area is required.
Experience working with an Enterprise Resource Planning system (such as SAP, Umoja, Inspira or similar) in an international organization is required.
Experience working in the application of administrative processes in international organizational settings is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency English is required. Knowledge of another official United Nations language is an advantage.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

• Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. • This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
