Correspondence addressed and distributed efficiently, effectively and in a timely manner. Efficient, effective, and timely archiving of correspondence and agreements, and other official documents. Productive partnerships maintained with internal team members, clients, and client offices. Ensured client satisfaction.

Duties and Responsibilities

Within the limit of the delegated authority, the incumbent will be responsible of the following tasks:

• Performs, under minimal supervision, the full range of office management and administrative support functions
• Responds or drafts responses to a wide range of correspondence and other communications.
• Assists in the preparation of presentation materials using appropriate technology/software.
• Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate staff inside and outside the immediate work unit.
• Maintains electronic files and databases for work unit.
• Researches, compiles, and summarizes background materials for use in preparation of reports, briefs, speeches, etc.
• Attends meetings, prepares minutes, monitors follow-up activities.
• Provides guidance to mission and/or subordinate staff. May assist in reviewing host country agreements.
• Identifies and reports issues/problems as they arise and recommends appropriate actions.
• Coordinates regularly with service units and liaises as needed with internal team members both at the mission and in outstations.
• Performs other related administrative duties, as required (e.g., travel, stock requisition of office supplies, reviews physical space plans and assists in the identification of office technology needs, maintenance of equipment, software, and systems, organizes and coordinate seminars, conferences, and translations).

Qualifications/special skills

High school diploma or equivalent is required.
A minimum of five (5) years of progressively responsible experience in administration, finance, budget, accounting, audit, human resources, or related area is required.
Solid computer skills including proficiency in word processing and spreadsheets is required.
Relevant knowledge of the United Nations Rules and Regulations is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised fluency in English and Arabic is required.
