About the position
The main objective is to support the administrative analyst team on the research grant Accelerating Impacts of CGIAR Climate Research for Africa (AICCRA) and assist with administrative and logistics matters in cooperation with the center’s supporting offices and the Alliance Bioversity-CIAT.
The position will be based in the operations center of the Americas, located in the Campus of Palmira, Colombia.
Key Responsibilities
- Provide support in the administrative and logistical procedures for some project units that manage funds through the Alliance Bioversity-CIAT.
- Process some of the travel requests, ticket flight options, ticket requests, monitoring of the trip (departures/arrivals on time, advance travel processing, insurance, visas, requirements, and attention for urgent cases), legalization and reimbursement of expenses.
- Focal point and support to the accounting office for the timely recording of expenses related to trips, events, services, and consultancies.
- Bring support with the reimbursement of expenses through invoices, payment authorizations, and collection accounts.
- Help the analysts with procurement requests (office supplies, material for events, business cards, etc.)
- Suport and organize attention and logistics of project visitors.
- Support in the coordination of national and international events of the project.
- Attend monthly meetings of the AICCRA Core Team and Project Management Unit (PMU).
- Maintain permanent communication and provide support to analysts, so they can provide information to project units for planning, execution, and monitoring of travel budgets, events, services, and contracts.
- Provide support in the administration of consultancy contracts (coordination of contracts, monitoring of delivery reports, and legalization of expenses)
- Compile the information required for the staff hiring process.
- Assist in the collection and correct registration in Share Point of required documentation requested by the analyst regarding the donor rules concerning the use of funds for services, trips, events, and consultancies.
Requirements
Qualifications and requirements
- Technical/technological or bachelor’s degree (recently graduated) in Business Administration, Finance, Accounting, or related fields.
- Experience in procedures, administrative support, and giving users (internals/externals) support.
- Experience in similar positions.
- Intermedium to advance skills in Excel.
- Intermediate level of English (oral, writing, and comprehension skills).

Terms of employment
This is a national recruited position placed at a BG05, on a scale of 14 levels, with level 14 being the highest.
This is a Colombian national search and will be managed through a fixed-term contract of a one (1) year period, subject to a probation period according to the local legislation and is renewable depending on performance and availability of resources.
