The Fund’s Legal Department is seeking to fill an Administrative Coordinator position in its Administrative Law Division (LEGAD). The successful candidate will be responsible for providing full administrative support to lawyers in the Division. Duties and responsibilities will include, but are not limited to, the following:

  • Coordinates the administrative workflow of the Division and administrative and logistical project or mission support.
  • Performs a broad range of administrative duties with respect to document management, including drafting documents by integrating text, tables and charts from multiple sources/software applications. Drafts and edits routine correspondence on administrative matters. Proofreads and edits documents on behalf of supervisor and/or division staff; ensures correct grammar, spelling, and punctuation; formatting in accordance with Fund style.
  • Provides administrative and logistical support for Division staff participating in missions, conferences and training, including arranging travel for staff, entering missions, processing travel authorizations and processing expense claims.
  • Organizes, files and retrieves documents from physical and electronic repositories. Ensures proper record keeping of the Division’s hardcopy and electronic records and Legal Records, and compliance with the File Plan. Initiates standard reports to inform administrative decisions or check compliance with Fund procedures. Monitors and responds as necessary to e-mails, client requests, and tracks and enforces deadlines.
  • Disseminates Fund administrative policies within the work unit for staff at all levels. Assists with first-line technical support to colleagues at all levels within the work unit on Fund systems, office productivity software, and other office automation technologies such as mobile technology and teleconferencing. Maintains the Division’s Teams site, Sharepoint and intranet pages, including the Fund’s Administrative Manual. Creates and maintains spreadsheets and other tools to track administrative data and processes for the unit. Ensures compliance with policies and liaises with relevant departments to resolve issues, as necessary.
  • Carrying out other administrative duties as requested.

Minimum Qualifications

Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented, supplemented by at least four years of relevant administrative experience is required.

The selected candidate must possess the following qualifications:

  • Proven administrative skills and high proficiency in MS Word, Excel, and Outlook, as well as the ability to produce accurate work under pressure, to adapt to changing deadlines, to contribute as a team player and to work with limited supervision in a very busy environment.
  • Sound judgment and the ability to conduct themselves with utmost discretion and prudence, including careful handling of strictly confidential information and measured communications under contentious situations such as litigation.
  • Excellent work management skills and the ability to understand assignments quickly and appropriately prioritize them are required.
  • Excellent interpersonal skills and the ability to establish and maintain cooperative working relationships to support the administrative efficiency of the Division, in line with the roles.
  • The ability and interest in improving work practices, including through the effective use of technology would be an asset.
  • Excellent command of English, both oral and written.

This vacancy shall be filled by a 3-year Term appointment in accordance with the Fund’s new employment rules that took effect on May 1, 2015.
