The Immediate Office of the Asia and Pacific Department (APD) has an opening for an Administrative Coordinator.

The selected candidate will provide a wide range of secretarial and administrative support for a Deputy Director. In addition, the selected candidate is expected to back up the Director’s Senior Administrative Coordinator and play a key role in managing the workflow of the Immediate Office; including monitoring the flow of information and keeping track of shifting priorities. The selected candidate will be expected to work under minimum supervision and be required to exercise initiative, sound judgment, and utmost discretion in performing his/her duties and in handling complex and sensitive matters.

In addition to the above, the selected candidate will have some country work responsibilities supporting the Pacific Islands division, including proofreading and editing documents; ensuring correct grammar, spelling, and punctuation; formatting in accordance with Fund style.

Tasks may include, but will not be limited to:

  • Handle the logistics for seminars and workshops.
  • Organize meetings at headquarters, overseas, and also via videoconference.
  • Prepare memos, presentations, and other graphic and illustrative materials in support of senior staff.
  • Provide office support, such as ordering office supplies, and assist staff with administrative matters.
  • Maintain calendars and schedule appointments and meetings.
  • Manage the distribution of action/review items
  • Help coordinate departmental events.

Minimum qualifications:

Educational development, typically acquired by the completion of a high school diploma or equivalent, supplemented by a minimum of four years of relevant experience, is required.

In addition to the qualifications set forth in the job standards, this position requires:

  • Proven ability to work with minimum supervision and exercise independent initiative as well as handle sensitive and highly confidential matters with good judgment, diplomacy, and discretion.
  • Strong organizational and administrative skills, with a proven ability to work well under stressful conditions, manage short deadlines, handle multiple tasks in a timely manner, and prioritize conflicting demands.
  • Demonstrated ability to perform as part of a team.
  • Proven interpersonal skills to interact effectively with Fund staff and external contacts at all levels, and excellent oral and written communication skills.
  • Proficiency in the Fund standard software applications.

Only candidates who are currently residing in the Washington DC metro area will be considered.

Candidates must have passed the IMF Office Assistant exam to be considered.

This vacancy shall be filled by a 3-year Term appointment in accordance with the Fund’s new employment rules that took effect on May 1, 2015.

A regular staff member who is selected to fill the vacancy will maintain their open-ended status. If the selected candidate is a contractual employee, they will be offered a Term staff appointment. Staff members already on a term appointment will continue their current term but may receive an extension provided that their current term appointment has not already been extended.
