About the Program:

The world needs to cut its emissions in half by 2030 and reach net-zero by mid-century to prevent the worst effects of climate change. To address this urgent & daunting challenge, WRI’s Global Climate Program undertakes research to evaluate the technical, economic and social benefits of climate action, and the costs of inaction. We work with national governments, international policymakers, businesses, civil society, local governments, and other non-state actors as they pursue their own emissions-reduction and adaptation goals, and we build tools to track global progress and ensure equity & accountability in delivering on those goals. https://www.wri.org/climate

Job Highlight:

You will Report to Director, GHG Protocol. As the Administrative Specialist with the Greenhouse Gas Protocol (GHGP), you will provide executive support to the Director. Your specific responsibilities will include: calendar scheduling, travel and visa support, timesheet and expense management, event coordination, and other tasks as assigned. You will provide admin support to the GHG Protocol Director, senior managers, and project teams, as well as maintain some operational responsibilities across GHGP projects. You will function as a close partner to the GHGP Director, proactively resolve issues, and ensure preparation for upcoming travel, events, and commitments, while also supporting the development, communications, and cohesion of the GHG Protocol team. You will be supported by the Climate operations team and program coordinators as well as GHGP team and program coordinators.

What will you do:

Executive Support to GHGP Director (70% time):

  • Manage Director’s daily calendar and coordinate scheduling of internal, external, and team meetings; support agenda planning and meeting preparation
  • Support communications for the Director; collaborate with external contacts, draft talking points, and prepare presentations with senior managers
  • Plan and make travel arrangements, secure visa requirements, and other travel-related support
  • Prepare and monitor Director’s expense reports, timesheets, and other administrative tasks
  • Identify opportunities and execute administrative and logistics actions to improve operational efficiency
  • Improve communications among the GHGP Director and the team and with partners and donors
  • Keep a calendar and maintain electronic filing system
  • Coordinate conference, webinars, and event logistics for domestic and international meetings and workshops, including venue, catering, equipment, translators, travel and visa support for WRI staff and event participants

GHGP Project Management Support (30% time):

  • Support project managers in coordinating with external partners, and provide close liaison across WRI programs, departments, and international offices
  • Support project managers in the development and tracking of project workplans, deliverables, and task assignments
  • Process contracts, procurement documents, work orders, and other formal documentation for project commitments
  • Prepare sub grant and contract agreements and advise Project Managers in working with partners and contractors to ensure agreements are completed on time, including the accurate submission of progress and financial reports
  • Coordinate outreach efforts on behalf of projects

What will you need:

  • Education: You have a completed Bachelor’s degree
  • Experience: You have a minimum of 3 years full-time work experience in business administration, executive support, or relevant professional environment
  • Proactively identify problems and working with colleagues to develop solutions
  • Strong process orientation with sensitivity to quality, timelines, and organizational systems
  • High level of comfort with Microsoft Office and web-based communications (Teams, Zoom)
  • Familiarity with CRM database (Salesforce) or project management softwares (Asana, Monday) preferred
  • Strong commitment to WRI’s mission, values, and approach
  • Languages: Position requires professional fluency in written and spoken English, though you may have opportunities to use Spanish, Portuguese, Indonesian, Amharic, Mandarin, and Hindi in communication with Climate Program colleagues
  • Requirements: Existing work authorization is required where this position is based. WRI is unable to authorize visa work authorization

Potential Salary:
The salary range for this position is between 69,000 USD and 78,000 USD. WRI offers a competitive remuneration and benefits package.
