About the position
The Multifunctional Landscapes Research teams are seeking a dynamic Senior Analyst to support the Team Leader on low-emission and water-efficient use strategies. This role demands a high level of engagement for both technical and administrative support matters. The primary objective of this position is to ensure effective administrative support for the research team by tracking and reporting results monthly, preparing high-level meetings, reviewing and monitoring budgets, managing contracting processes, procuring equipment and services, and handling event logistics, all in line with internal policies.
The position will be based in the operations center of the Americas, located in the Campus of Palmira, Colombia.
Key Responsibilities
Supervise and coordinate the administrative and logistical procedures for the team, ensuring efficient management of funds through the low-emission and water-efficient use strategies Team Leader.
Develop administrative tasks to meet the technical requirements of donors, ensuring timely implementation and adherence to internal policies.
Provide and organize follow-ups with the finance team, overseeing the implementation of budget adjustments and ensuring timely execution.
Act as the focal point for communication and support to project units in planning, executing, and monitoring travel budgets, events, services, and contracts.
Coordinate and manage national and international project events, meetings, workshops, and seminars with government bodies, relevant partners, and stakeholders as per the Team Leader’s instructions. This includes planning, executing, monitoring, and reporting the budget for each event.
Ensure compliance with donor rules regarding the use of funds for services, trips, events, and consultancies.
Support the accounting office by advising on the timely recording of expenses related to trips, events, services, and consultancies.
Participate in and organize a detailed schedule of general research team meetings and ensure effective follow-up on actions.
Process and execute the project’s procurement requests, including office supplies, event materials, business cards, and other necessities.
Ensure seminars/workshops are conducted according to instructions and support the Team’s agenda within the broader framework of low-emission and water-efficient use strategies.
Organize the Team Leader’s agenda, ensuring timely delivery of responses regarding budget execution, approvals, and other matters.
Process travel requests, including flight options, ticket requests, monitoring of trips, advance travel processing, insurance, visa requirements, and urgent cases, as well as handle the legalization and reimbursement of expenses.
Support the administration of consultancy contracts by adjusting/creating Terms of Reference, following up on contracts, monitoring, and reimbursement of expenses.
Compile information required for the staff hiring process and support the creation/modification of Terms of Reference.
Report to the Team Leader as requested and provide regular updates on administrative matters.
Support the general requirements of the area and contribute to the overall efficiency of the team.
Requirements
Qualifications and requirements
Bachelor’s degree in Administration, Industrial Engineering, Logistics, Accounting, Political Sciences, International Relations, or a related discipline.
Master’s degree, specialization, or training courses in Business Administration, Finance, Accounting, or similar fields are preferred.
Experience in the agricultural sector, with demonstrated expertise in administrative procedures, public service, soft skills, and experience in similar roles, including coordinating and leading events.
Proficiency in the Microsoft Office suite, with advanced skills in Excel.
Intermediate proficiency in English, both written and spoken.

This is a national recruited position placed at a BG07, in a scale of 14 levels, with level 14 being the highest.
This is a Colombian national search and will be managed through a fixed term contract of a six (6) months period and is renewable depending on performance and availability of resources.
