Purpose of Job

The Analyst, Marketing and Sponsors Outreach main responsibility is to provide support to the Principal –Marketing, Sponsorship and Technology Management in the a) management of the Marketing and Design Officer, b) coordination of the social media campaign c) development and maintenance of the Business Forum sponsorship and marketing programme, d) leading of the sustainability, diversity and inclusion initiatives for day to day events and the Annual Meeting, e) Analysing the registration and marketing data to increase cost recovery for the Annual Meeting.

The role requires relevant experience in the above fields and close working collaboration with the Event Management Team (AMPEM), Banking teams, sponsors (which include EBRD clients), external international media partners, Communications, Office of the General Counsel and Business Development Unit.

Accountabilities & Responsibilities

The Analyst, Marketing and Sponsors Outreach will provide support to the Principal – Marketing Sponsorship and Technology Management in: Managing the Marketing and Design Officer and leading a team of 2 support staff during AM event by training, structuring activities, monitoring and providing feedback on their performance.

Marketing

  • Contribute to Designing a Marketing Strategy based on data analysis and the results of previous marketing efforts.
  • Coordinating the intercommunication with stakeholders for the various marketing deliverables.
  • Assisting with the development and implementation of the general marketing strategy;
  • Coordinating and monitoring development of the outsourced Design service provider’s deliverables;
  • Coordinating the production of the Business Forum Invitation Brochure, Newsletters and other marketing literature;
  • Sourcing and liaising with providers for promotional materials;
  • Coordinating with relevant departments, designers and suppliers, the production of sponsor items and media partners’ adverts;
  • Overseeing the development and maintenance of the sponsors and media partners’ areas in the AM website, MyEBRD mobile app and EBRD intranet.
  • Initiating, developing and coordinating, in close cooperation with the Communications Department, the social media marketing campaign and ensuring compliance of EBRD style at all times.

Business Forum Sponsorship and Media Partners Programme

  • Contribute to the design of a sponsorship strategy by:

A) Building relationships with relevant departments in Banking, ROs, Business Development, BIS and OCCO to generate a current and reliable target list.
B) Organising meetings with previous sponsors to collect post event feedback and recommendations to create packages that reflect the needs of the sponsor companies.

  • Researching relevant sponsorship target companies in cooperation with EBRD departments and Constituency Offices;
  • Preparing invitations for potential sponsors and following up;
  • Drafting, issuing and monitoring the sponsor legal contracts;
  • Liaising with all sponsors and coordinating sponsor deliverables;
  • Coordinating the main networking and sponsorship areas on-site during the Annual Meeting;
  • Liaising with all Business Forum Partners on web related issues;
  • Researching and negotiating reciprocal media agreements with media partners and publications;
  • Coordinating shipments of sponsors’ publications and materials in conjunction with the Logistics team;
  • Coordinating stand structures, artwork panels and accompanying promotional materials delivery times;
  • Managing students during the event to assist with sponsors, media partners, publications and stands;

Sustainability, Diversity & Inclusion Initiatives

  • Contribute to the Sustainability strategy as well as a Diversity & Inclusion strategy for the Annual Meeting and for the day to day events in the Bank.
  • Leading the Carbon Neutral Initiative;
  • Implementing new ideas to reduce carbon emissions and the environmental impact of the AM;

Registration

  • Analyse AM participant’s historical data. Provide solutions to increase cost recovery via sponsorship and Business Guests’ participation.
  • Support the principal with the updating and cleaning of the registration database, and post AM reports

General

  • Support the Principal on the preparation and management of tenders for service providers
  • Analyse AM participant’s historical data. Provide solutions to increase cost recovery via sponsorship and Business Guests’ participation.
  • Consolidate post AM reports
  • Assisting where required with any ad-hoc tasks required by the Annual Meetings Unit.

Knowledge, Skills, Experience & Qualifications

  • Proven experience in a recognised company, organisation or institution having had responsibilities in the areas of marketing and sponsorship, sustainable goals, and ideally also in web site development and social media campaigns;
  • Strong stakeholder management experience.
  • Ability to produce concise, well-constructed written communications coupled with the ability to present verbally in a clear and persuasive manner;
  • Previous experience of working on large international events;
  • Computer literate in Windows 10, Microsoft Outlook, Teams, Word, Excel, Adobe Acrobat and PowerPoint;
  • Willingness to travel and to spend a period of time away from home during the annual event;
  • Ability to operate sensitively in multi-cultural environments and build effective working relationships with clients, counterparts and colleagues.
  • Strong diplomatic and interpersonal skills to handle discreetly and tactfully relations with authorities, the business community and EBRD staff in a multicultural setting and at all levels;
  • Able to work well under pressure and to tight deadlines, to remain accurate and attentive to detail in such situations;
  • Interest in, and knowledge of, the EBRD and its region of operations.
