Purpose of Job

The Assistant Analyst, Mobility is accountable for the consistent operational execution of the Bank’s HR mobility policies and procedures. The Assistant Analyst, Mobility will handle the majority of day-to-day operational issues and work with third party suppliers to find solutions where appropriate.

The Assistant Analyst, Mobility manages operational mobility support to the Bank as a whole and works in collaboration with other teams with HROD e.g Talent, Payroll, ER, Line managers from the business and HR Business Partners, where necessary, to provide advice, support and liaison with internal and external parties regarding mobility in a consistent and timely manner. A key focus of this role is to provide expert advice and practical support to relevant staff at EBRD including their accompanying family members, with regard to relocation, immigration and destination services, which includes shipment of household goods, within the framework of the Banks mobility policy and in accordance with the Banks special privileges and immunities.

Accountabilities & Responsibilities

  • Production of benefit summaries for all staff eligible for global mobility
  • Coordinating the end-to-end relocation process for Internationally recruited new hires and current employees going on assignments to ensure smooth relocation including visa applications, accommodation needs, shipping arrangements, financial assistance, liaising with third party vendors and ongoing support throughout the process.
  • Responsibility for the timely and accurate preparation and implementation of contractual and financial documentation related to the relocation.
  • Responsibility for providing expert guidance, training and advise to other team members of HROD in respect of facilitating EBRD staff in relocation, repatriation and assignment.
  • Providing advice on the Banks diplomatic privileges and immunities which will include liaison with designated UK government offices; the FCDO, and the Diplomatic Section of DVLA.
  • Liaising with Resident Office Managers in the Banks countries of operations with regard to facilitating local payments relating to mobility and support in local regulations in respect of immigration/customs clearance.
  • Providing expert guidance and advice to team members on complex immigration & mobility issues and stay up to date to changes in these areas.
  • Monitoring any immigration developments that may affect staff and inform/train other members of the HROD team as and when needed.
  • Responding to queries on global mobility issues received from staff or internal clients via AskHR and updating Guidelines/ Knowledge Based Articles as necessary.
  • Liaising with third party providers to ensure accountability against contract/ service levels
  • Liaising with third party providers to ensure ability to work in new areas like Sub Sahara Africa and, where necessary, to be flexible with provision of services and adapt these services to new countries if required.

Knowledge, Skills, Experience & Qualifications

  • Extensive and proven operational international mobility experience preferably gained in the financial services sector.
  • Thorough knowledge of current visa and immigration rules.
  • Highly analytical approach to work with the ability to prepare in-depth costings with a view to present these to HROD colleagues and staff members.
  • Highly accurate with strong numerical skills.
  • Fluency in English, both oral and written.
  • Ability to act in a customer service orientated manner, responding flexibly and promptly to clients’ needs using outstanding interpersonal skills.
  • Ability to deal effectively with challenges in a way that ensures a positive outcome for all parties.
  • Excellent organisational and administrative skills; the ability to multi task is essential.
  • Ability to operate in an environment with continuously changing priorities, remain calm under pressure and turn work around and accurately whilst meeting demanding deadlines.
  • Ability to problem solve by being able to successfully analyse issues and seeing them through to resolution.
  • Self-motivated with a capacity for hard work and a good sense for priorities and initiative.
  • Ability to communicate and influence diplomatically and effectively at all levels.
  • Ability to exercise judgement and deal discreetly with sensitive situations and confidential information.
  • Ability to operate in a multi-cultural environment and build effective working relationships with clients and colleagues is essential.
