Org. Setting and Reporting

This position is located in the Office of the Director, Division of Conference Management, Department for General Assembly and Conference Management, Geneva. The incumbent reports to the Special Assistant to the Director of Division.

Responsibilities

Within delegated authority, the Assistant Programme Management Officer will be responsible for the following duties:
– Works in collaboration with the Senior Staff Assistant; screens phone calls and visitors, replies to complex information requests and inquiries and as necessary, refers inquiries or forwards calls/emails/messages to appropriate personnel for handling. Attends meetings of the Director and prepares notes as required.
– Performs general administrative tasks including the preparation and processing of administrative requests and documents (stock requisitions, work orders, travel requests, visa applications, creation of funds commitments, gDoc and eMeets requests). Develops and maintains files in SharePoint. Updates of the contact lists and charts. Updates and maintains the UNOG website (DCM pages) and DCM iSeek page. Provides assistance to the Special Assistant to the Director and Executive Office as required.
– Researches, compiles and organizes information and reference materials from various sources for reports, briefings and meetings.
– Contributes to the organization of interviews, meetings, events, assistance on the preparation of communication materials and implementation of projects such as the UNOG Multilingualism Action Team, visits by high officials and other events.
– Carries out basic research on selected aspects of programmes, operations and other activities, etc., to include collecting, analyzing and presenting statistical data and other information gathered from diverse sources.
– Provides substantive support for policy coordination and evaluation functions, including the review and analysis of emerging issues and trends, participation in evaluations or research activities and studies.
– Contributes to the preparation of various written outputs in English and French, e.g. drafts background papers, analytical notes, sections of reports and studies, inputs to publications, etc.
– Provides administrative and substantive support to consultative and other meetings, conferences, etc., to include proposing agenda topics, identifying and proposed participants, preparation of background documents and presentations, handling logistics, etc.
– Performs other duties as required.

Education

An advanced university degree (Master’s degree or equivalent) in business administration, management, economics, communications or a related field is required. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Work Experience

Applicants to positions at this level who have an advanced university degree in a relevant field of study are not required to have professional work experience. For applicants who have a first level university degree, two additional years of qualifying work experience is required.

Experience with project support in conference services within the United Nations Common System or other comparable international organizations is desirable.

Experience working in a front office is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English and French is required; knowledge of another UN Official language is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

• This position is temporarily available for three (3) months, with a possibility of extension, starting as soon as possible. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

• While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

• Subject to the funding source of the position, the eligibility for this temporary job opening may be limited to candidates based at the duty station.

• This temporary job opening may be limited to “internal candidates,” who have been recruited through a competitive examination administered according to staff rule 4.16 or staff selection process including the review of a central review body established according to staff rule 4.15.

• Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply.Submitting an application or selection for the current temporary job opening does not delay or increase the mandatory age of separation.
