Purpose of Job
The Digital Workplace encompasses a range of technologies and tools, including Microsoft 365 (M365), M365 Copilot, Robotic Process Automation (RPA), Digital Devices (laptops and mobile devices), Business Applications, and various projects run and governed by the Digital Workplace capability.
The Digital Workplace Business Change, Adoption, and Communications Lead is responsible for driving the successful adoption and utilisation of Digital Workplace tools and technologies within the organisation.
Accountabilities & Responsibilities
Change Management:
Early engagement to build understanding and awareness of the change ahead.
Gather core information about the groups/teams to build a clear view of their structure, use cases, data requirements etc. which may have impact on the change.
Build understanding of any non-standard requirements within a particular group/team that could disrupt the change process and feed these into evaluation and decision-making process.
Develop and implement change management strategies to support the adoption of digital workspace tools.
Identify potential barriers to change and devise mitigation strategies.
Engage with stakeholders at all levels to ensure buy-in and support for digital initiatives.
Guide the defined users through the required preparatory activities to ensure they are completed in time for the planned deployment schedules.
Build a business change champion network and foster strong relationships within the Business.
User Adoption:
Design and execute adoption programs to increase usage and proficiency of digital workplace solutions.
Conduct training sessions and create user-friendly documentation to support end-users.
Signpost users to training material and support processes to ensure they are prepared to use the new tools and feel confidence in their user experience.
Monitor and analyse adoption metrics/KPIs to assess the effectiveness of initiatives and make improvements.
Set up and run business stakeholder meetings to provide updates and gather feedback about the progress being made with preparatory activities, highlighting any concerns.
Communication:
Develop and execute comprehensive communication plans to inform and engage employees about digital workplace changes.
Create and distribute engaging content through various channels (emails, intranet, webinars, etc.).
Manage the T-minus comms activity for the groups/teams.
Act as a liaison between IT and business units to ensure clear and consistent messaging.
Stakeholder Engagement:
Build and maintain relationships with key stakeholders to understand their needs and ensure alignment with business objectives.
Facilitate workshops and meetings to gather feedback and provide updates on digital workplace initiatives.
Serve as the main point for all communication related to digital workplace changes.

Management and update of the Adoption Team’s core products e.g. master tracker, templates, plans
Knowledge, Skills, Experience & Qualifications
• Bachelor’s degree in Business Administration, Information Technology, Communications, or related field.
• Minimum of 5 years of experience in change management, user adoption, and communications within a digital or IT environment.
• Proven track record of successfully managing business change and driving user adoption of digital tools.
• Strong understanding of digital workplace technologies (e.g., Microsoft 365, M365 Copilot collaboration tools).
• Experience in developing and implementing communication strategies for large-scale projects.
• Proficiency in creating training materials and conducting training sessions.
• Excellent verbal and written communication skills.
• Strong leadership and interpersonal skills.
• Ability to work collaboratively with diverse teams.
• Analytical mindset with the ability to interpret data and make data-driven decisions.
• Creative thinking and problem-solving abilities.
• High level of adaptability and resilience in a fast-paced environment.
• Experience in project management tools and techniques.
• Evaluate business stakeholder feedback as part the project’s lessons learned process.

• A diligent and conscientious completion of work on time and to an agreed, acceptable level of quality.
• Ensure this scope of services is successfully transitioned to the confirmed Third Party Provider and the knowledge transfer complete.
