POSITION OVERVIEW: The Global Operations Associate provides support to all units in the Operations Department. This includes direct support to Global Operations, Procurement, Cost & Pricing, and Awards Management. The Associate provides administrative support to the Chief Operations Officer (COO), assists with upkeep of the Operations SharePoint sites, and ensures that content is current and updated.
POSITION RESPONSIBILITIES:
Processes invoices and reconciliation of multiple credit cards for accounts payable. Completes Procurement Review Checklist and verifies all required documentation is accounted for on core purchases. Produces financial reports and follows up on open and recurring purchase orders. Request and update existing purchase order information and documentation. Transfer and retrieve data from Winrock’s financial system or electronic files as requested. Update databases or records with new information as it becomes available. This includes WinShare and the Collaboration Site for the Awards Management and Procurement. Correct and modify inaccurate files and records as advised by the AM and Procurement team when needed. Arrange and organize electronic files as needed for Operations. Coordinate Annual Ops Retreat and other offsite team activities. Manage Winrock’s Institutional Memberships – budget, list maintenance, create payment requests. Federal Funding Accountability and Transparency Act (FFATA) Reporting – monthly reporting in the FSRS portal. Operations Project Filing tracking for Awards Management and Pricing Complete Representations & Certifications from USG/Non-USG funders. Manage participant tracking for Ops Trainings. The responsibilities of this role are subject to modifications as required by the needs of the organization.
POSITION QUALIFICATIONS:
Education Bachelor’s degree in business administration or a similar discipline required. Related experience or the equivalent combination of education and experience preferred. Experience: A minimum of one year of relevant experience preferred. Computer/Technical Skills: Strong analytical and computer skills, especially spreadsheet and financial analysis. Proficient with Microsoft Office Suite; SharePoint a plus. Proficient in Costpoint Financial System. Strong software skills and advanced knowledge of spreadsheets and word processing. Accurate and precise attention to detail Skilled knowledge in generating process documentation. Assists team members when needed to accomplish team goals. Fast and accurate typist Communication Skills: Good interpersonal skills. Ability to write clearly and concisely. Language: Fluent English speaking and written communication are required. Required Travel: Minimal to no travel. Position-Specific Skills: Experience with basic procurement procedures preferred. Flexibility to assume a workload which frequently necessitates an adjustment of priorities. Strong organizational skills coordinating a variety of tasks simultaneously. Firm understanding and sense of the importance of paying attention to detail. Ability to lead work in a team-oriented environment. Ability to always demonstrate the highest level of ethical standards. Ability to manage multiple priorities. Physical Demands: This position typically requires sitting for long periods for office work, standing, bending, and reaching. Must be authorized to work in the United States.
SALARY: This position has a salary range between $47,000 – $49,500 with most candidates falling at the mid-point of the range. Winrock provides an excellent benefits package including a 10% 403b annual contribution, excellent health care coverage and PTO/holiday leave plans.
