Position Overview

Shot@Life is a United Nations Foundation [UNF] advocacy campaign working to ensure everyone in the world has access to lifesaving vaccines and all children have a shot at life. We raise awareness about global vaccine inequity, advocate to ensure strong U.S. government investment in global immunization programs, and partner to mobilize private resources and support for the global immunization work of our UN partners.

The Associate, Operations will work in collaboration with all members of the campaign – directors, advocacy, communications, and fundraising team members — and numerous UNF core support teams to ensure effective operations of the Shot@Life campaign. The Associate will lead on supporting Shot@Life’s budget management, database management, contracts and payment processes; and will support various other operational functions and business processes that allow Shot@Life to realize its mission. The Associate, Operations reports to the Director, Shot@Life.

The position is based in Washington, DC (hybrid schedule).

Essential Functions

  • Support the processing of all Shot@Life operations agreements, liaising directly with UN Foundation contracts team to draft, review, revise, and execute all agreements.
  • Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information, and prepare reports.
  • Provide support with Shot@Life payments to vendors, consultants, grantees, and volunteer advocates as needed.
  • Support campaign directors in the organization, tracking, and management of Shot@Life’s budget.
  • Assist with campaign event logistics, including the coordination and processing of contracts with virtual and in-person event vendors and partners.
  • Serve as the main support focal point for UNF’s Operations and IT teams.
  • Maintain updated and accurate campaign listservs, subscriptions, materials (event marketing, swag/promotional), and equipment inventory.
  • Support internal reporting for campaign goals and activities, and support on overall business planning and reporting processes as needed.
  • Provide administrative support for the campaign — make travel arrangements and process expense reports for the campaign directors, schedule team meetings and take notes, organize and maintain the team’s digital files.
  • Support the planning and implementation of team-wide trainings, retreats, and morale-building activities.
  • Support the campaign’s individual fundraising efforts as needed, including the organization and maintenance of individual donor records in Salesforce, tracking fundraising numbers, monitoring donations and troubleshooting issues in real-time, preparing quarterly and seasonal fundraising reports, and ensuring thank you letters are assigned and sent.
  • Support with special projects as needed.
  • Other duties as assigned.

Selection Criteria

  • Bachelor’s degree required.
  • 1-3 years of professional experience, preferably supporting business operations.
  • Proficiency with project administration and business technology platforms – e.g., Salesforce, Microsoft Office Suite (Word, PowerPoint, Outlook), MS Teams and SharePoint. Mastery of Excel a must.
  • Must be detail-oriented with strong organizational and database management skills.
  • Experience supporting contract and payment processing preferred.
  • Experience with fundraising systems– e.g., Salesforce, EveryAction, Classy.
  • Demonstrated ability to successfully support projects.
  • Strong attention to detail, adherence to deadlines, and ability to handle multiple projects.
  • Strong skills working in teams and across many types of organizations — team-oriented, problem solver, relationship-builder, and strong inter-personal skills.
  • Ability to multitask in a fast-paced, rapidly changing environment.
  • Pro-active, self-starter, with the ability to think several steps ahead.
  • Quick learner with the ability to synthesize information.
  • Ability to meet regular attendance/tardiness policy.
  • Ability to work under pressure and handle stress.
