The UNESCO Jordan Office is implementing several projects in the field of cultural heritage, including the project “Local Communities and Sustainable Tourism in Petra and Wadi Rum”, which aims at ensuring the sustainable conservation of World Heritage Sites of Petra and Wadi Rum, while offering local communities the possibility to take part in the preservation of the sites through small cash-for works activities, enhance their capacity in tourism and hospitality-related activities, and raise their awareness on the importance of their role in the safeguarding of their own cultural heritage.
The incumbent will work under the overall authority of the Head of the UNESCO Jordan Office, under the direct supervision of the Project Officer in the Culture Unit, and in coordination with the rest of the CLT staff and the relevant Administrative and Financial staff. S/he will be based in Amman and will undertake field visits to the projects as needed.
The Associate Project Officer’s duties and responsibilities include, but are not restricted to:
– Support the operational implementation of the project, with particular focus on the coordination with the partners responsible for the implementation of activities at the different project sites (Petra and Wadi Rum);
– Take part in regular field missions to the cultural heritage sites targeted by the project to monitor the contractors’ activities; progress on the conservation and maintenance works in the sites; and usage and appropriate storage of the tools and materials acquired for the implementation of the project;
– Support the management of data related to the Cash-for-Workers employed by the project;
– Provide administrative support to the activities and operational implementation by preparing solicitation documents, contracts, and administrative documents as needed;
– Assist in the financial aspects of the activities by preparing documents for processing payments related to the projects’ activities and office maintenance;
– Follow up with the Administrative and Financial Unit on issues related to the payments and other administrative tasks;
– Prepare travel arrangements for external consultants and UNESCO experts including flight and hotel bookings, transportation, visa, travel authorization and any other requirements as needed;
– Handle the establishment of vendor numbers, contracts, purchase orders and other financial administrative duties for the project teams;
– Take part in the Projects technical and steering committee meetings and prepare minutes, if needed;
– Assist in the logistical arrangement of activities and meetings, events, trainings (etc.); by copying/distributing material, reserving venues and sending invitations to participants, drafting letters, memos, briefings, presentations and taking notes in internal and external meetings;
– Maintain files and reference systems, and other manual and computerized information and reference systems (e.g.travel forms, narrative and financial reports, mission schedules, payments, logistics, UNESTEAM, share driver, etc.) on the projects folders of the office server according to UNESCO regulations and procedures;
– Draft a variety of materials including correspondence, e-mails and tables using various word processing templates and spread sheet software and performing data entry from pre-existing forms as well as assisting in the usage of UNESCO’s own data information systems (e.g. DUO, UNESTEAM);
– Review administrative documents written in Arabic and provided by third parties, and prepare unofficial translation from English into Arabic and vice versa;
– Provide support in the visibility activities of the project in close coordination with the supervisor;
– Draft translation of project and sector related documents from Arabic to English and from English to Arabic;
– Keep on a regular basis the Projects contact lists and work plans up-to-date;
– Carry out any other duties as requested by the supervisor and the Head of Office.
Education
• Advanced university degree (Masters or equivalent degree) in public administration or any other related field.
A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
Work experience
• Two years of progressively responsible experience in administrative and program support in the public and private sector.
Competencies and skills
• Ability to build partnerships, maintain and enhance working relations with the institutions and relevant partners and stakeholders;
• Ability to work under pressure and meet project deadlines;
• Strong planning and organizational skills;
• Ability to work accurately while adhering to rules and regulations
• Excellent knowledge of standard office software (Word, Excel, PowerPoint, etc.); including internet navigation and various office applications.
Languages
• Arabic mother tongue.
• Very good knowledge of written and spoken English.
Years of relevant work experience
• Proven experience in the coordination of activities in the cultural heritage sector will be considered an asset.
