1. Organizational Context
a. Organizational Setting
The post of Associate Project Support Officer is located in the Enterprise Business Capabilities Section, Enterprise Solutions Division (ESD), Information and Communication Technology. The Enterprise Solutions Division is responsible for the evolution and maintenance of WIPO’s portfolio of ERP Administrative and Management applications collectively known as the Administrative Integrated Management System (AIMS). AIMS portfolio of products includes a combination of commercials off the shelf (COTS) and custom developed applications based on Oracle Hyperion, Taleo, PeopleSoft FSCM and HCM, Acuity Stream (for Risk Management) and others.
b. Purpose Statement
This is a project post under the approved Capital Master Plan AIMS 2.0 Transformation project. WIPO/AIMS is embarking on a large modernization, involving the migration of existing applications to Cloud platforms, as well as renewing its applications landscape.
The main role of the incumbent is to support AIMS 2.0 project team in their daily activities, applying his/her knowledge, skills, tools, and techniques to project activities to meet identified business needs. S/he will collaborate with the project team leads and member to ensure that the projects are within the agreed parameters of cost, timescales, and quality, as well as provide support to the AIMS 2.0 Transformation Project Manager.
c. Reporting Lines
The incumbent works under the supervision of the AIMS 2.0 Transformation Project Manager.
d. Work Relations
The incumbent interacts with a range of colleagues mainly within the Administration, Finance and Management Sector, but also with other departments as part of the ERP transformation process. This role also requires collaboration with project team members consist of WIPO staff/ external consultants.
2. Duties and Responsibilities
The incumbent will perform the following principal duties:
a. Contribute to the monitoring of specific aspects of project and program implementation, identify problems, propose actions to expedite project and service delivery, and identify and track follow-up actions.
b. Assist the AIMS 2.0 project manager in preparing and maintaining realistic project schedules and quality plans and track all activities against them.
c. Ensure selected project management methodology and standards are clearly defined and used throughout the project.
d. Ensure project and program documentation is consistently created, updated and made available to stakeholders.
e. Contribute to the preparation of various written reports, as may be needed, including drafting, reviewing and revising sections or portions of project assessment documents, background papers, project and budget revisions.
f. Contribute to the preparation and circulation of communication and training materials.
g. Provide administrative and substantive support to project meetings, such as the preparation of background documents and presentations, handling logistics, writing meeting minutes etc.
h. Perform other related duties as required.
3. Requirements
Education (Essential)
First-level university degree in business administration, finance, human resources management, information technology, computer science or a related discipline.
Education (Desirable)
Certification in project management, e.g. PRINCE2, Agile or PMI.
Certification in Program Management methodology (MSP).
Experience (Essential)
At least three years of relevant professional experience, including experience in supporting the management of projects with direct business impact, by using industry standard project management methodologies, tools, and project planning and control techniques, including budget control.
Experience (Desirable)
Experience working with medium scale, multi-functional IT projects / programs.
Experience with implementing ERP or similar administrative management systems.
Language (Essential)
Excellent knowledge of written and spoken English.
Language (Desirable)
Knowledge of other UN languages (Arabic, Chinese, French, Russian or Spanish).

Mobility: WIPO staff members are international civil servants subject to the authority of the Director General and may be assigned to any activities, office or duty station of the Organization. Accordingly, the selected candidate may be required to move from time to time to new functions and/or to another duty station.
Annual salary:
Total annual salary consists of a net annual salary (net of taxes and before medical insurance and pension fund deductions) in US dollars and a post adjustment. Please note that this estimate is for information only. The post adjustment multiplier (cost of living allowance) is variable and subject to change (increase or decrease) without notice. The figures quoted below are based on the March 2025 rate of 73.6%

Additional Information
* Initial period of one year, renewable, subject to funding and satisfactory performance. Fixed-term appointments granted for approved projects shall be for a period whose minimum and maximum duration are tied to the funding and terms of reference of the project. The overall duration of a fixed-term appointment for a project shall normally not exceed five years. Fixed-term appointments granted for approved projects shall not be converted to a permanent or continuing appointment.
