ACCOUNTABILITIES/RESPONSIBILITIES:
1. Manage and maintain organized records and databases, ensuring that information is easily accessible and well-structured for staff use.
2. Maintain and strengthen relationships with internal and external stakeholders by facilitating effective communication, supporting information sharing, and coordinating external communications.
3. Ensure proper filing, storage, and retrieval of documents. Proofread reports, documentation, and correspondence, making necessary changes in line with established guidelines to maintain quality and consistency.
4. Schedule and manage meetings, including preparing agendas, taking notes, and following up on action items. Handle travel arrangements for the Country Director (CD) and other staff as needed.
5. Organizing workshops/retreats/events for management unit.
6. Collate, manage, and analyze data for reports, documents, and correspondence, ensuring accurate and timely information is available to support the work of staff and enhance business decision-making.
7. Respond to standard queries from staff and external stakeholders, providing timely and accurate guidance to ensure effective communication and service delivery.
8. Process and oversee routine administrative and financial tasks across various functional areas, contributing to the efficient and timely management of resources and office operations.
9. Contribute to the continuous improvement of front office procedures and processes, identifying opportunities for enhanced efficiency and effectiveness.
10. Provide guidance and support to junior colleagues, helping them perform their duties effectively and fostering a collaborative work environment.
11. Oversee daily office operations, including managing scheduling, facilities, IT support, and following up on tasks assigned by the Country Director (CD).
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: First level University degree is required in business administration, Public Administration, Social Sciences.
Experience: Five or more years of progressively responsible work experience in a relevant business stream, with a focus on general administrative tasks, preferably within an international organization, the UN, an INGO, or other entities involved in humanitarian or development work. Experience in executive support, office management, or similar roles is required.
Knowledge & Skills:
Languages: Fluency in both oral and written communication in English and Urdu
