The Position:

The Individual Consultant (IC) can be located in Copenhagen or any location within the CET +/- 1-2 hour time zones.

Job Purpose:

The consultant will work as Human Resources Recruitment Consultant being part of the Operations Team of the Supply Chain Management Unit (SCMU) to support HR matters associated with the office realignment process.

You would be responsible for:

Operational support in recruitment and selection processes of the SCMU and support the Senior HR Business Partner, HQ, with any realignment exercises

  • Liaise with the hiring managers, Senior HR Business Partner HQ, HR Specialist, to provide relevant and timely information to external classifiers to have job descriptions classified to meet UN ICSC HR criteria.
  • Manage applications and data throughout the e-Recruit system and process recruitment and HR actions in accordance with established procedures and quality standards; respond to applicant inquiries;
  • Prepare longlisting of candidates in the eRecruit system in accordance with established procedures and quality standards;
  • Organise and coordinate the interviews and selection process which include preparing documentation for decision makers and appointment bodies;
  • Draft and prepare documents for approval and processing of the hiring of candidates in accordance with established procedures and quality standards;
  • Process, monitor and review follow-up on recruitment and other HR actions;
  • Use of tracking tools to monitor recruitment status and other indicators for management and recruitment purposes, and monitoring and tracking of status of requests, initiating follow-up actions to ensure submissions of selection processes for review are timely, accurate and contain complete documentation.
  • Respond to enquiries, and provide information and advice to staff relating to recruitment and staffing actions and HR policies and procedures;
  • Manage information delivery and dissemination for the SCMU and organise the structure of information storage and use;
  • Maintain HR data in the Quantum e-Recruit system as well as related paper files and efiles.
  • Generate required HR reports for monitoring recruitment processes.
  • Provide backup support as needed to other HR support personnel in the SCMU and DHR for facilitating the tasks associated with the realignment of the SCMU.
  • Support any HR activities relating to realignment of the SCMU e.g job fairs, job matching, recruitment, and selection processes.

Provide HR services in staff administration for staff of SCMU

  • Monitor the contractual status of staff: advise on appointments, extensions and separations; inform Senior HR Business Partner HQ on staffing issues to be followed up;
  • Work with DHR branches to generate required HR reports (e.g.staffing with contract expiry date, Personnel Action Forms, staffing reports, etc.);
  • Assist in producing documentary evidence required by auditors during audit sessions;
  • Respond to HR inquiries and requests for assistance through the Integrated Service Desk, escalating queries to the relevant Specialists/Senior HR Business Partner HQ as required;

Qualifications and Experience:

Education:

An advanced university degree in Human Resources, Business Administration, Public Administration, Organizational Development or related discipline is required.

Knowledge and Experience:

  • HR experience within UNFPA is considered an asset.
  • Knowledge of modern concepts and approaches, and evolving trends in the field of Human Resources;
  • Ability to deliver effective solutions to complex HR challenges in a multicultural and increasingly remote-based environment.
  • Strong analytical skills – ability to extract data, identify trends and raise to the attention more senior staff with recommended actions.
  • Demonstrated innovation and creative problem-solving abilities.
  • Excellent organizational and multi-tasking skills – ability to coordinate several work-streams in parallel, while maintaining attention to details.
  • Ability to handle confidential information and build a trusting rapport with staff at all levels of the Fund.
  • Ability to collaborate effectively and create sense of cohesion in teams.
  • Previous experience with development/humanitarian organization would be considered an asset.
  • Excellent knowledge of information technology systems and tools. Knowledge of PeopleSoft HRMS would be considered an asset.

Languages:

Fluency in English is required. Working knowledge of any other UN official languages is an advantage.
