CONSULTANT FOR COORDINATION AND LOGISTICAL SUPPORT FOR THE ASSEMBLY AND COUNCIL

The Division of the Office of the Director-General (ODG) is comprised of Governance, Strategy, Partnerships, Communications & Knowledge Sharing, and Korea Liaison units. As the front office of the Director-General, ODG supports GGGI to fulfill its strategic vision and support in developing and maintaining relationships with partners and mobilizing resources. The Governance Unit is part of the ODG, and it is responsible for overseeing and enhancing the organization’s governance frameworks, including providing support to the organization’s Member States in the context of the Assembly, Council, and Management and Program Sub-Committee. The Consultant will report to the Governance Lead.
The 13th Session of the Assembly and 17th Session of the Council will take place as an in-person meeting on October 17, 2024, in Seoul, Republic of Korea at the GGGI Headquarters, preceded by e-consultations on September 30-October 14, 2024. The Assembly and Council Joint Session will take place during the Global Green Growth Week 2024 on October 14-18, 2024, which is a week-long conference featuring high-level panel discussions and interactive sessions that highlight examples of solutions and best practices to advance the implementation of the Paris Agreement and NetZero pledges. The Governance Unit will be leading the organization of the Assembly and Council Joint Session, the Welcoming Reception, and the Ministerial Panel for the Global Green Growth Week 2024. The Governance Unit will also be responsible for arranging the travel and providing logistical support to the Member State delegations.
OBJECTIVES OF THE ASSIGNMENT
The objective of the assignment is to provide overall support to organize the Assembly and Council Joint Session, the Ministerial Panel of Global Green Growth Week and related events, with a focus on logistical coordination with external and internal stakeholders to organize the meetings and events, arrangement of travel for delegates receiving travel support from GGGI, and providing inputs to logistical and substantive documents of the meetings and events.
The duration of the assignment is July 8 – December 13, 2024. Under the overall guidance of the Governance Lead, the Consultant will work closely with team members of the Office of the Director General and Office Enabling Division for the planning and delivery of outputs.
DELIVERABLES AND PAYMENT SCHEDULE
Under the supervision and guidance of the Governance Lead, the duties of the Consultant include:
1) Coordination and Liaison with Member State and Partner Delegations

- Assist with the preparation and dispatch the invitation letters for the Assembly and Council & Global Green Growth Week.
- Liaise with GGGI member state and observer country delegations, in coordination with GGGI country offices, to secure their participation and engagement in the Assembly and Council Meeting and other events during the week of the Global Green Growth Week 2024.
- Manage event registration processes, including the creation and maintenance of attendee lists.
- Serve as the primary point of contact for all logistics-related inquiries from GGGI Member States and observer countries.
- Assist with the dissemination of meeting and event information through various channels, including email, social media, and the GGGI website.
2) Logistical Arrangement and Travel Management

- Arrange travel for delegates of GGGI Member States eligible to receive travel support to attend the Assembly and Council Meeting and Global Green Growth Week 2024.
- Coordinate the setup of event spaces, including audio-visual equipment, signage, and seating arrangements.
- Prepare reports and documentation related to event planning and execution.
3) Organization of Meetings and Events

- Implement the logistical and organizational details of the Assembly and Council Joint Session, the Welcoming Reception for the Joint Session, and the Ministerial Panel Session for the Global Green Growth Week 2024, and related side events.
4) Post-Meeting Evaluation

- Develop and implement mechanisms to capture feedback from event participants.
- Analyze feedback to identify successes and areas for improvement, incorporating lessons learned into future event planning.
No later than a week after the signing of the contract, a workplan will be prepared and agreed with the Consultant. The implementation of the workplan will be done through the weekly and monthly planning process.
Mode of payment:
The Individual Consultant shall be paid only for actual days worked and outputs and deliverables completed. The Individual Consultant shall submit a timesheet every month indicating the actual days he/she provided the services.
Other information:
- All outputs must be in English.
- The computer applications that will be used include Microsoft Office applications, SharePoint, Outlook, WordPress, ERP, and other online tools as deemed necessary.
EXPERTISE REQUIRED
The Consultant is required to have:
- A minimum of a bachelor’s university degree in the field of international studies, international relations, business administration, or a related field
- 4+ years of experience in organizing large international meetings and events
- Experience in organizing board meetings
- Experience coordinating and liaising with government stakeholders and diplomatic community
- Experience in arranging travel and providing logistical support to participants in international meetings and events
- Ability to work well under pressure/with tight (multiple) deadlines and work in a composed, competent and committed manner
- Highly organized and close attention to details
- Good command of spoken and written English required
- High proficiency in computer applications and IT skills
- Demonstrated ability to communicate with diverse stakeholders, external and internal
- Experience working within a sustainable development/environment is desirable
