Job Highlight

The Contract and Legal Coordinator is expected to provide significant support to the Operations team in streamlining current practices and identifying innovative solutions to the Grants & Contract, and Legal requirements of the Indonesia office. It is expected that this individual would be willing to manage routine processes to ensure the smooth functioning of Grants & Contract, and Legal with a high level of engagement and attention to detail. This position will be based in Jakarta with office-flex working arrangement.

 

The position is responsible for providing support, particularly in areas that require legal and regulatory framework analysis. This includes (1) analysis of legal and regulatory framework on contract/agreement with the donor, subgrant, vendor, and (2) input and legal support on organization executive team as a legal counsel and Human resources. Furthermore, the position is also responsible for overseeing compliance of the project implementation to ensure compliance with the agreement and donor requirement.

 

What You Will Do

Grant Management (35%)

  1. Legal Framework Analysis: Conduct thorough reviews of funding awards’ terms and conditions, providing detailed legal framework analysis to guide organizational compliance and decision-making processes.
  2. Grant Administration Oversight: Manage all aspects of grant agreement processes with funders. This includes verifying the accuracy and completeness of all grant documentation and ensuring its systematic storage within SharePoint for easy retrieval and compliance.
  3. Project Closure Coordination: Lead the coordination of project closures, meticulously gathering all necessary data to fulfill the project closing checklists, ensuring no detail is overlooked and all statutory and donor requirements are met.
  4. To advise other WRI staff on the administration of, and compliance with, the award. Supporting on proposal and negotiation

 

Contract and Subgrant Management (35%)

  1. Sub-Grantee Due Diligence: Act as a crucial member of the Selection and Screening team, performing in-depth due diligence and risk assessment for new sub-grantee applicants. Provide strategic feedback for developing robust risk mitigation plans.
  2. Contractual Reviews and Negotiations: Examine and critique drafts of sub-grant agreements and contracts to ensure comprehensive coverage of all donor and organizational stipulations. Facilitate necessary follow-ups to secure agreements within designated timelines.
  3. Financial and Compliance Reviews: Execute detailed compliance and financial audits of sub-grantee reports, enforcing strict adherence to financial guidelines and contractual obligations.
  4. Legal Document Scrutiny: Review, negotiate, and refine contracts, agreements, and other legal documents to ensure they are in strict compliance with legal mandates and organizational policies, effectively mitigating potential legal risks. Setting good templates, standard negotiation procedures, etc. for effectiveness.

 

Legal Compliance (30%)

  1. Organizational Legal Advisory: Serve as a legal advisor to the executive team and department heads, offering expert counsel on a wide range of legal issues including organizational governance, regulatory compliance, and employment law, enhancing organizational decision-making and policy development.
  2. Contractual Integrity Negotiations: Negotiate and revise various types of contracts—including vendor contracts, grant and sub-grant agreements, employment contracts, and nondisclosure agreements—to protect organizational interests and ensure legal and ethical integrity.
  3. Regulatory Compliance Monitoring: Proactively monitor legislative and regulatory changes impacting the organization, ensuring all operational practices comply with new and existing legal frameworks.

 

What You Will Need

Required Qualifications:

  • Bachelor’s degree in law.
  • A good understanding of corporate law, contract law, and relevant regulatory frameworks.
  • Minimum 3 years of experience in managing an organization or corporate law.
  • Strong communication, negotiation, and analytical skills.
  • Ability to organize project documentations, including project’s plan, implementation progress, reporting, and other necessary documents & data.
  • Strong team player with the ability to work across institutional departments/programs.
  • Ability to manage professional relationships to effectively communicate with people at all levels and from various backgrounds.
  • Highly organized and systematic with strong time management skills and ability to juggle competing priorities and deadlines required.
  • Professional fluency in Bahasa Indonesia and English.
  • Fluency in Microsoft Office Suite is imperative.
  • Strong writing skills for both technical and general audiences. Oral presentation skills a plus.
  • Ability to travel.
  • Legally able to work in Indonesia.

Preferred Qualifications:

Working knowledge of Microsoft Office 365, SharePoint, and Salesforce

 

Performance Standard

Responsibilities are expected to be delivered in a timely and satisfactory manner with minor supervision.

 

Contract Arrangement

Full-time with fixed-term employment agreement up to 31 December 2024 with 3 (three) months of consultancy contract apply before the fixed-term employment agreement started.

Must have authorization to work in Indonesia to be eligible for this position.
