Position Overview
We are seeking a detail-oriented and enthusiastic Coordinator of Events to join our team and provide vital administrative support while coordinating exceptional events sponsored by our organization. As a Coordinator of Events, you will work closely with our Director of Events to ensure flawless event logistics and create unforgettable experiences for our attendees.
This position is based in Washington, DC. (Hybrid work schedule)
Essential Functions
- Support event logistics and day of event support as determined by Director.
- Assist the Events Director, the Sr. Manager of Events, and the Sr. Manager of International Engagement and Advance in managing the budget, contracts, invoices, and expense reconciliation for the events portfolio.
- Coordinate travel scheduling and booking for Congressional Delegations to United Nations Headquarters with the supervision from Sr. Manager, Events.
- Work with Finance and Business Services/Budget Departments to process invoices, reimbursements, and contracts for event activities relevant to UNF’s core teams, campaigns and alliances.
- Assist in the preparation and distribution of event materials, such as agendas, presentations, signage, and name badges.
- Assist the events team with project management and maintenance of the team’s electronic file management systems, team communications platforms (currently Microsoft Teams) and team project management system (currently Monday.com).
- Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information and prepare reports.
- Monitor event in-boxes and communicate as needed with invitees and guests with oversight from Director.
- Drafting and reviewing several agreements at a time and maintaining an understanding of all agreement terms and applicable flow-downs with guidance from Director.
- Attending training sessions provided by UNF’s contracts team to maintain and keep up to date with UNF’s current policies and procedures. (As applicable to the role)
- Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information, and prepare reports.
- Helps support the Public Affairs team with additional event and contracting support as needed.
- Process expense reports for Events Director.
- Other duties as assigned.
Selection Criteria
- Bachelor’s Degree required.
- 1 year of experience in event planning preferred.
- Highly organized and detail oriented.
- Working knowledge of ZOOM and virtual events required.
- Knowledge of Splash That, MS Teams, and Salesforce software highly preferred.
- Proven competency in software applications including MS Office, Excel, Outlook and PowerPoint.
- Works well in a collegial fast paced team environment.
- Strong written and verbal communications skills.
- Approximately 20-30% overnight travel domestically and internationally required.
- Experience and comfort working with socially prominent donors, volunteers and other VIPs is preferred.
- Ability to meet physical demands of job, including lifting up to 30lbs.
- Ability to meet regular attendance/tardiness policy.
- Ability to work under pressure and handle stress.
