Key Responsibilities:

 

JOB PURPOSE:

 

This position will provide diversified operational and administrative support to the Corporate Services regional manager, Location Leader, and global Corporate Services (CS) team. The coordinator will be responsible for providing the CS regional manager status reports on the facility and resources of Global Centre Manila Office (GCMO) to ensure smooth day-to-day operations, manage cost-effective facility practices and event planning (virtual/local), provide efficient office support services with a variety of administrative activities including but not limited to health, safety and security, payment processing related to CS tasks, courier services, and managing team website and content.

 

MAJOR RESPONSIBILITES:

 

ADMINISTRATIVE SERVICES

  • Assist Corporate Services regional manager with operational and administrative ad-hoc requests.
  • Maintain GCMO Corporate Services “center of excellence” by overseeing and ensuring an updated WVcentral/SharePoint site for access to site specific documents and information.
  • Assist CS regional manager with Post-COVID and RTO support by implementing and developing office re-entry checklist, preparing individual space reconfigurations and building considerations according to minimum health guidelines, and maintaining updated office protocols, signage, and guidelines.
  • Supervise the renewal of all required government permits, licenses, accreditations. Ensure that it is renewed in a timely manner and such documents are kept and maintained in a secure and safe storage.
  • Assists the CS team and other departments as needed with procurement and finance related processes for creating purchase requsitions/orders, processing invoices. Maintain a database for all created PO and paid invoices.
  • Ensure all active vendors are registered, provide a signed agreement/contract and adhere to our terms of payment in ProVision. Ensure all invoices are processed accurately and submitted in a timely manner.
  • Oversee the coordination of chapel service and support the chapel committee. Supporting the organization’s different business units with administrative support for on-site/virtual meetings hosted at Global Centre Manila Office

 

FACILITIES MANAGEMENT, SAFETY AND SECURITY

  • Provides CS regional manager facilities maintenance schedule and coordinates scheduled services and workplace improvements.
  • Suggests innovative technologies necessary to enhance the facilities use according to the office needs.
  • Provides support for technology based initiatives for the ongoing improvements in facilities management in REAM and occupancy attendance dashboards in Power BI
  • Conducts regular facility evaluations/inspections and presents proposals using cost-benefit methodologies such as “repair or replace”. Oversees janitorial services and asset inventory.
  • Updates and ensures compliance with security and emergency preparedness documents for fire safety, fire drill evacuation, emergency action plans, first aid/CPR/AED training. Coordinates and participates in emergency evacuation team and drills. Monitors CCTV cameras.
  • Review minimum standards and implement safety and health program in the workplace. Ensure that Global Center Manila Office meets the basic safety and health requirements.
  • Perform quarterly assessment of the implementation of occupational safety and health program in the workplace
  • Prepare annual report of safety and health for submission and compliance.
  • Attend scheduled safety inspections by authorized government agents.
  • Support the development and implementation of security strategies.
  • Ensure security management procedures are in alignment with WV security policy and practices.\
  • Deliver oversight of security prevention, preparation, response and recovery activities.
  • Take a leading role in developing improvement of systems for security process and procedures.
  • Participate in Security meeting, trainings, and workshops related to security management.
  • Facilitate the documentation of best practices and lead the implementation in GCMO
  • Carries out additional responsibilities and projects that may be required or assigned by manager

 

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE:

  • Bachelor’s Degree or significant equivalent related work experience
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook
  • High degree of knowledge and experience in office services or facility management
  • Experience in coordination of executive meetings and catering needs.
  • Works well with cross cultural teams and virtual team networking.
  • With strong experience in occupational safety and health standards
  • Ability to provide responsive customer focused support.
  • Excellent organizational, planning and communication and interpersonal skills.
