Accountabilities and MAIN WORK ACTIVITIES

  • Manage and coordinate the CPIMS (child protection case management) activities and related documentations for three of the refugee camps and IDP intervention areas under Benishangul Program Area operations;
  • Manage the use, maintenance and technical support of databases (child protection information management- CPIMS) used in the operation including planning and overseeing data collection, input and verifications; production of standard and ad hoc reports;
  • Collaborate with CP team, and take a primary responsibility of managing the CPIMS database and kept the Unaccompanied, separated and other vulnerable children data update and generate reports in different forms and share the data to partners according to the protocol;
  • Work closely with Child Protection staffs and other teams on the design of systems and procedures for family tracing and reunification and follow ups that place the best interest’s assessment of the child as the guiding principle, and monitor them in an ongoing documentation of the children, to ensure documentation meets required standards;
  • Undertake the documentation and data management and update the team periodically;
  • undertake the documentation and data management for unaccompanied, separated and Other Vulnerable Children as per the procedure and standards;
  • Enhance smooth processing and production of unaccompanied, separated and Other Vulnerable Children information as needed;
  • Manage all incoming and outgoing information and communication related to unaccompanied, separated and Other Vulnerable Children;
  • keep the confidentiality of any unaccompanied, separated and Other Vulnerable Children;
  • Check if all Unaccompanied, Separated and OVC children profiles are updated, analysed and exported from CPIMs in a regular base;
  • Ascertain that master lists are produced and protracted as necessary and as needed for reference;
  • Make sure that all the information is ready filled and check the accuracy of information before starting Data Entry;
  • Check all Area Overviews and follow up the interview and documentation process
  • Review the quality of the data on the surveys to enter the data;
  • Follow up and Update all Unaccompanied & Separated Children information and status and produced output information using CPIMS Profile page;
  • Identify mistakes/inconsistency and notify CPIMS data base officer;
  • List and record surveys that need to go back to the field for correction and follow up their return;
  • Discuss any cancellations with the direct supervisor before entering to CPIMS. Make sure the number and caseload inconsistency against the hard copy we have and the number of caseloads UNHCR, RRS & UNICEF have and report to the CPIMS data base officer;
  • Report any system related problems to Information Communication Technology (ICT) staff
  • Prepare information/replies to the request from any partner working on Case management (FTR) for referral and by National Office Inquiries;
  • Ensures that global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

  • Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures.
  • Ensures that all staff in the unit/function/department are properly inducted on and understands their role in upholding Plan International’s safeguarding and GEI policies;
  • Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
  • Ensures that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
