The International Energy Agency (IEA) is an intergovernmental organisation committed to advancing security of energy supply, economic growth and environmental sustainability through energy policy co-operation. The IEA operates as an autonomous body within the framework of the OECD. Both the IEA and the OECD seek opportunities to work with an increasing number of non-member countries of growing importance to the world economy. The Agency aims to foster the contribution of the energy sector to economic development and environmental sustainability across the globe.
The IEA Communications and Digital Office (CDO) develops and implements the Agency’s communication strategy and advises the Executive Director on communications initiatives and priorities. CDO is responsible for the production and dissemination of IEA data and analysis, oversees the Agency’s digitalization strategy, public relations and social media as part of its external communications. It is also responsible for the IEA’s product strategy, including data and publication sales.
CDO is seeking a Data Sales Assistant to work in the Sales Team to support sales process streamlining and provide general support for the ongoing work in the office. The selected candidate will report to the Sales Manager and will be responsible for sales administration.
Main Responsibilities
Provide assistance to the webstore subscriptions and online data subscriptions managers:
IEA webstore:
· Assist in the management of the webstore:
o handle incoming orders, assist with licence agreements and contracts, issue invoices, monitor customer database (CRM, Webstore)
· Ensure high quality customer service by responding to basic general requests, inquiries and claims, apply data licensing policy. Maintain good working relations with all customers.
· Assist with the upload of products on the webstore. Liaise with other IEA services (authors, Publications, Press, Web).
Oil Market Report (OMR) and online data subscriptions:
· Handle basic subscription related requests
· Assist with the release of the report (once a month)
· Assist in the management of the users’ database. Deal with basic client requests and queries. Maintain good working relations with all customers.
Payment tracking:
· Assist in the registration of payments received in the OECD financial information system (SAP), validation of the payments in the Webstore and verification.
· Follow up with clients on pending invoices.
Ideal Candidate Profile
Academic Background
· Good post-secondary level education (BA/Bsc or equivalent).
Professional Background
· Experience in data sales administration.
· Experience in data compliance policy would be an advantage.
· Experience in negotiation and working with commercial contracts and/or agreements would be an advantage.
Tools
· Good knowledge of CRM and Sales platform.
· Very good proficiency in the use of Excel/Power BI or other tools.
Languages
· Fluency in one of the two OECD official languages (English and French) and a knowledge of, or a willingness to learn, the other.

Contract Duration
· Thirteen months fixed term appointment, with the possibility of renewal.
Selection Process
For retained candidates, written tests/video-recorded interviews are foreseen early September and panel interviews are planned towards end of September.
Please note that our Rules and Regulations stipulate that the mandatory retirement age is 65.
· Monthly base salary starting from 3,873.50 EUR, plus allowances based on eligibility, exempt of French income tax.
