Result of Service
– Incoming and outgoing information is properly recorded in information systems, in particular meeting participants’ credentials (see output 1). – The contacts database is kept up to date according to established procedures (see output 2). – Meeting participants’ information is properly registered in the BRS Secretariat database and system allowing smooth meeting registration processes, as well as timely production of list of participants, rosters and statistics (see output 3). – Massive mail-out and mail-merge correspondence is dispatched to recipients (see output 4). – Assigned BRS webpages are kept up to date, in particular with information extracted from the contacts and meeting registration databases (see output 5).

Duties and Responsibilities
ABOUT BRS SECRETARIAT The Secretariat of the Basel, Rotterdam and Stockholm Conventions (BRS Secretariat) brings together the three leading multilateral environmental agreements that share the common objective of protecting human health and the environment from hazardous chemicals and wastes. The services required under this ToR are part of the clearing-house mechanism for information exchange for the Basel, Rotterdam and Stockholm conventions. The conferences of the parties of the three conventions pursuant to decisions BC-16/23, RC-11/10 and SC-11/22 on clearing-house mechanism, requested the BRS Secretariat to implement the activities of the workplan for the biennium 2024-2025, including the maintenance of the BRS Secretariat records keeping systems (paragraph 17 in sub-activity number 1 related to data management activities to keep information up-to-date and properly catalogued). REPORTING AND SPECIFIC TASKS TO BE PERFORMED BY THE INDIVIDUAL CONTRACTOR Under the supervision of the Unit Head, the individual contractor will perform the following tasks: Output 1: Registers incoming and outgoing records in electronic recordkeeping system; Assembles records and creates electronic file lists, including for meeting participants’ credentials. Output 2: Assists in the development and maintenance of the BRS databases, including the Correspondence Tracking System (CTS), the Contacts database and its related workflows and data collection procedures. Output 3: Takes a lead role in recording registrations for meetings, participants’ lists, participants’ rosters and other statistics related to meetings. Develops MS Office templates and macros for automation of repetitive office tasks. Output 4: Acts as a focal point for processing of staff requests on massive mail outs and mail-merge operations. Output 5: Develops, maintains and administers assigned static and dynamic BRS websites and liaises with systems developers to ensure that websites are integrated with existing systems.
Qualifications/special skills
High school diploma or equivalent is required. A minimum of 3 years of progressively responsible working experience in the field of information management, information technology and applications, involving databases and data analysis is required; Proven experience in working with MS Office packages, including macros is required; Experience in providing reliable data management and records keeping is desirable; Experience in using taxonomies for data cataloguing is desirable; Experience in working with international organizations is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position, fluency in English is required. Fluency in another UN official language is desirable.
