The Direcotarate of  Sustainability, Technology and Outlooks (STO) is looking for a Director’s Assistant who will report directly to the Director of STO (A7).  The main purpose of the job is to carry out the necessary secretarial duties in order to relieve the Director of a number of administrative tasks.

Main Responsibilities

Executive assistance

•        Manage the Director’s calendar of appointments, organise meetings and manage the electronic agenda on his behalf; filter telephone calls, answer enquiries (phone, e-mail, in person) of a routine nature, in both official languages of the Organisation; receive and assist visitors who are frequently high-level officials.

•        Assist in organising the workload of the Director, by managing the flow and storage of information to his office and maintaining a schedule of action points. Flag priority issues requiring immediate attention and ensure deadlines for priority/urgent messages are met. Take the initiative in following up on matters that do not require the Director’s personal attention.

•        Co-ordinate briefing meetings and provide supporting background material for the Director prior to meetings and official travel and take note of any follow-up action required.  Prepare documentation and Powerpoint presentations for internal and external meetings where necessary.

•        Take responsibility for all travel arrangements and expense claims for the Director.

•        Co-ordinate and manage all official engagements and missions for the Director, paying particular attention to protocol.

•        Delegate action items to Divisions on behalf of the Director and ensure deadlines are met and contribute to the overall planning of activities and smooth running of the Director’s office.

•        Draft emails and letters for the Director and co-ordinate responses on his behalf.

Directorate and Budget management

•        Liaise closely with other assistants to ensure smooth operations of the directorate

•        Provide support to the Director in the preparation of budgetary reviews, liasing with relevant colleagues in STO and FIN.

•        Carry out other tasks as required.

Communication and Co-ordination

 •       Act as one of the central points of contact, which involves working closely with other staff in the Directorate and Agency, to ensure a timely and effective response to inquiries and requests from the Director.

Other Duties

•        Assist other members of the team as necessary and replace or coordinate replacement for them in their absence.

•        Carry out other related tasks as required.

Ideal Candidate Profile

Academic Background

•        At least good secondary level of education, preferably post-secondary.

 

Professional Background

•        Relevant experience of administrative tasks, preferably in an international environment.

•        Good knowledge or capacity to learn of the administrative rules and procedures of the Organisation or another international organisation, in particular with respect to the procedures to be followed for the organisation of meetings and regarding official travel.

Tools (If Appropriate)

•        Very good command of a range of software packages (Word, Excel, PowerPoint, SAP) and ability to adapt to new technologies.

Languages

•        Fluency in one of the two OECD official languages (English and French) and knowledge of the other, with a commitment to reach a good working level.

•          For this role, the following competencies would be particularly important: Achievement focus, Analytical thinking, Flexible thinking, Teamwork, Client focus, Diplomatic sensitivity and Organisational knowledge.

Selection Process

For retained candidates, written tests/video-recorded interviews are foreseen for the 1st week of July and panel interviews are planned for the end of July2023.

Contract Duration

·       Two-year fixed term appointment, with the possibility of renewal.
