This position is located in the Documents Control Unit of the Documents and Publications Division at ECLAC. The Documents Management Assistant reports to the Chief of the Documents and Publications Division. The Economic Commission for Latin America and the Caribbean is one of the five regional Commissions of the United Nations. It was founded in 1948 with the purpose of contributing to the region’s economic and social development. Its mission includes the design, monitoring and evaluation of public policies and the provision of advisory services, expertise and training to Governments, as well as support for regional and international cooperation and coordination activities. Responsibilities
Under the general supervision of the Chief of the Documents and Publications Division, the incumbent will be responsible for the following duties: • Assists the overall programming in the Documents Control Unit, which is responsible for organizing and monitoring the flow of work related to documents and publications; indicates priorities and deadlines, and monitors the editorial flow of work to ensure that they are met; distributes work to Unit supervisors and to outside contractors when necessary. • Evaluates all pre-session documents submitted for processing, in order to verify legislative mandates, ensuring compliance with submission dates, page-limitation, and in accordance with relevant policies, guidelines, rules and regulations on control and limitation of documentation. • Monitors the progress of the production process, making recommendations to the Chief of the Division in order to provide temporary reinforcement for specific units or modifying job priorities and delivery dates. • Manages and supervises the workflow control system (gDoc 2.0): distributes and coordinates the flow of information to enable each Unit to enter its inputs into the system, advises on its use, monitors the quality and timeliness of information, prepares reports and statistics on production and management; coordinates with the gDoc help desk in New York regarding requirements or incidents. • Monitors and follows up on submission of documents and editorial work flow with author departments and committee secretaries, and provides necessary information for documentation forecasts. • Independently responds to queries from author departments and all processing units. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Trains and supervises new staff as appropriate. • Carries out other tasks requested by the Chief; performs general office management functions as required.

Ability to adapt to changing procedures and modus operandi in order to implement ever-changing concepts for improving timeliness of documentation. Ability to perform analysis, modeling and interpretation of data in support of decision-making. Ability to research and organize information, and to compile statistics on performance by department/organ. Knowledge of the relevant policies, guidelines, rules and regulations on control and limitation of documentation in order to evaluate submissions for processing and distribution. Work Experience
Seven (7) years of experience in conference services, documentation processing and management or related area is required. The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher. Experience at the United Nations documents and publications services is desirable. One (1) year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position, fluency in English and Spanish is required. Knowledge of another official United Nations language is an advantage. NOTE: “Fluency” equals a rating of ”fluent” in all four areas (speak, read, write, and understand).
