The office of the Special Representative, Western Europe Department (CWE), is currently seeking a highly motivated, well-organized and independent Extended Term Temporary/Team Assistant to support the expanding IFC Paris Office, the CWE and the industry teams. The successful candidate must have excellent interpersonal skills and will be part of the local Administrative Corporate Services (ACS) team in CWE. The position is based in Paris, France.

Duties and Accountabilities:

Responsibilities will include, but will not be limited to:

• Provide high category office support with proficiency in the use of Word, Excel and Power point processing.
• Provide high quality support to the department/team, including:
• Scheduling of appointments, arranging meetings and disseminating relevant information or material.
• Making travel arrangements for senior staff and ensure trips clearance after verifying security information.
• Monitoring documents for signature/approval.
• Follow up on issues and priorities.
• Handle incoming correspondence and internal and external queries. Draft routine correspondence and proofreading materials using proper grammar, punctuation, and style, following the IFC Templates.
• Assist in preparation and logistical planning for various events e.g., conferences, workshops, negotiations etc. Provide support to visiting missions.
• Provide support with all types of administrative requests such as office supplies order, staff directory changes, email distribution lists, visitor’s pass, videoconferences, Webex.
• Perform Internet research to gather information on projects/products as requested by senior staff. Retrieving/extracting information from various sources, including magazine publications, IFC Library and the internet as necessary.
• Establish and maintain an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of front office needs.
• Act as back-up to other ACS colleagues in the office in their absence or during a busy period.
• Undertake ad hoc duties that may be assigned by the Supervisor, or the designated Task Team Lead.

 

Selection Criteria

• Minimum requirement is a High School Diploma and at least 2 years of relevant work experience in a large international institution or private sector organization, working experience in an international organization is a plus.
• A proven team player, deeply committed to working unselfishly and highly collaboratively as part of a multidisciplinary team, acting with integrity at all times to build trust, demonstrating emotional intelligence and working with exemplary dedication to internal and external clients.
• Strong interpersonal skills, positive attitude and flexibility to work effectively in a team-oriented and multi-cultural environment. Ability to independently prioritize workload, be highly organized, detail oriented (attention to accuracy) and work well under pressure with minimum supervision to meet deadlines.
• High degree of initiative, proactivity, and commitment to meeting deadlines. Flexibility in own schedule to accommodate unexpected work demands. Sound judgment, resourcefulness, reliability, and high degree of adaptability.
• Professional demeanor and high level of discretion and judgement in handling sensitive and confidential matters
• Advanced user skills of standard computer applications and proficiency in MS Office tools (including Words, Excel, Power Point and Remote Work tools and apps). Willingness and facility to learn new programs and applications as needed.
• Excellent communication and language skills in English (both oral and written), with the ability to draft a variety of correspondence, proofread, and edit materials as well as full proficiency in French. Good understanding of the French environment.
• Excellent secretarial and administrative skills.
• Willingness to perform ad hoc tasks and to travel occasionally.
