IFC’s Human Resources (HR) Department is a strategic partner to the business in developing and implementing workforce strategies and meeting organizational goals, including attracting, developing, and deploying diverse and skilled talent. IFC HR is comprised of the following five functions:

Client Services – offers strategic HR partnership, program implementation, support, and global solutions to staff and management through our HR Business Partner network.
Diversity, Equity, and Inclusion – supports the organization in building a diverse workforce, embracing equity, and fostering an inclusive workplace.
Strategy and Organizational Effectiveness – elevates employee experience and effectiveness through digital HR solutions, policy enhancements, organizational design, and workforce planning.
Global Talent Acquisition and Mobility Services – facilitates the end-to-end recruitment process in partnership with hiring managers and attracts candidates with desired skills to join IFC. Supports candidates and staff who are relocating internationally (coming in FY25).
Talent Development and Incentives – designs a skills-based talent management approach encompassing best practice HR solutions in onboarding, mentoring, career management, mobility, performance/talent management, incentives and awards, and leadership development.

IFC HR department is seeking an ET Temporary (Program Assistant), based in Washington, D.C. An ET Temporary will support the IFC HR department. The candidate will report to the Manager, HR Talent Development and Incentives, and will provide support across the HR department, including in the Director’s Front Office.

Duties and Accountabilities:
The ET Temporary is responsible for providing a full range of administrative support to the CHR Talent and Incentives team and broader IFC HR Department, including but not limited to:

• Support Talent and Incentives Manager, and other Managers in the department as needed, coordinating, and prioritizing meetings, organizing travel itineraries and logistics, and preparing meeting agendas and follow up action items.
• Provide administrative and logistical support for Talent Development and Incentives programs, coordinating event logistics for various meetings, learning sessions, focus groups and other events, including additional tasks related to such meetings (arranging Webex/Teams, VC, participants registration, ordering materials, etc.).
• Assist with onboarding, mentoring and Global Career Expo annual event planning, including scheduling, catering, photography, and other logistic management.
• Proactively organize, prepare, and print relevant briefings and background materials for meetings;
• Generate and maintain purchase orders for unit related expenditures in accordance with the IFC’s procurement guidelines.
• Manage the unit’s corporate card, including monitoring transactions, reconciling statements, and ensuring compliance with the IFC’s financial policies.
• Establish and maintain an effective network of contacts, both inside and outside the department, to ensure effective cooperation in support of execution of activities, and efficient flow of information and communication;
• Works closely and support the CHR Sr. Executive Assistant as needed. Provide back-up support to other HR Assistants and handle other ad hoc projects and assignments as assigned by the team, as needed.
• Support effective knowledge management and facilitate the identification, storage and dissemination of key documents and materials across the unit;
• Assist in editing and formatting reports, presentations, and correspondence in accordance with IFC HR guidelines and procedures

 

Selection Criteria

• Bachelor’s degree is desired, and a minimum of 5 years of entry-level professional experience or equivalent combination of education and experience.
• Experience providing administrative support to senior colleagues;
• Demonstrated ability to discreetly handle sensitive and confidential correspondence and information;
• Demonstration of initiative, independence and autonomy in addressing client needs in changing business contexts and environments;
• Ability to initiate changes to work processes to improve efficiency and performance and apply creativity, flexibility and persistence to develop new approaches;
• Ability to actively promote knowledge sharing and contribute to wider collaborative efforts;
• Fluency in written and spoken English, including ability to produce a variety of reports, presentations and correspondence and edit materials using proper formatting, grammar, punctuation and style;
• Excellent organizational skills with demonstrated ability to work independently, handle concurrent activities, rank priorities, organize work efficiently, work under pressure and deliver assignments in a timely manner often under intense time constraints;
• Excellent interpersonal skills and high level of discretion in dealing with confidential information;
• High level of proficiency in office technology including Word, Excel, PowerPoint and Outlook; familiarity with Peoplesoft or other HR systems preferred;
• High degree of initiative, reliability, and resourcefulness; and
• Ability to handle and adjust to a variety of concurrent demands.
