This position is located in the Documents and Publications Division at the Headquarters of the Commission in Santiago, and is under the general supervision of the Chief of the Division. The Economic Commission for Latin America and the Caribbean is one of the five regional Commissions of the United Nations. It was founded in 1948 with the purpose of contributing to the region’s economic and social development. Its mission includes the design, monitoring and evaluation of public policies and the provision of advisory services, expertise and training to Governments, as well as support for regional and international cooperation and coordination activities. Responsibilities
Within limits of delegated authority, the Editorial Assistant will be responsible for the following duties: • Screens documents and sales publications submitted for editing in order to ensure compliance with submission standards and regulations; provides author departments/divisions with specific instructions on correct format and submission procedures as necessary. • Oversees the registration of incoming and outgoing texts in the electronic document tracking system(e-Doc); informs Chief of Section of technical problems concerning submission and registration and resolves them as necessary; liaises with client offices on processes and queries. • Assists Chief of Section in assigning incoming jobs and tracking the workflow; keeps all concerned informed of changes in processing schedules and transmits changes made by author departments/divisions to texts in process. • Ensures that outgoing texts are submitted correctly to the translation services, text processing units or reproduction section; prepares special processing instructions as necessary. • Prepares quotations for extrabudgetary services requested by client offices, on a cost recovery basis. • Monitors daily use of regular budget funds and balance and use of cost recovery account for extrabudgetary services. • Independently responds to queries from author departments, translators and text-processing units concerning documents submitted for processing and related cost estimates. • Ensures that all staff in the Section have basic computer equipment and technical support, including help with the operation of software. • Compiles monthly, quarterly and yearly statistics on the output of the Section; prepares other statistical or financial reports as required by the Chief of Section/Service, Documents Control or the Director of the Division. • Performs general office management functions for the Section. • Trains and supervises junior staff in the performance of clerical and basic administrative functions, and in the use of gDoc, as appropriate. • Carries out other tasks requested by the Chief; covers other General Service staff functions when the staff members are absent on annual or sick leave. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures.

Education
High school diploma or equivalent is required. NOTE: For positions in the General Service category, candidates are required to clearly indicate in their Applicant Profile (AP) relevant information confirming completion of High School.
Job – Specific Qualification
Relevant technical / tertiary training or studies is desirable.
Work Experience
Seven (7) years of experience in screening and registering UN documentation submitted for processing, or in desktop publishing, or in providing reference and technical support to language staff is required. The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher. 1 year or more of experience in data analytics or related area is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English and Spanish is required.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.
