Duties and Responsibilities
Background Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 140 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses, and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyzes action, and increases global awareness to reduce disaster risk by working with the U.N. Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians, and the science and technology community. Duties and Responsibilities The consultant should facilitate and organize the quality delivery of activities and events hosted by the United Nations Officer for Disaster Risk Reduction, the Regional Office of the Americas and the Caribbean (UNDRR ROAC), and its partners. Under the direct supervision of the UNDRR External Relations Officer, the event coordination consultant will be responsible for ensuring the arrangements, logistics, administration, and preparation of the events run in a timely and effective manner. The consultant will be responsible for implementing support for the project as follows: Event Management: • Act as the focal point for planning and logistics organization for events and/or activities. • Work closely with UNDRR ROAC and its partners to ensure effective preparation, management, and execution of the events in accordance with the highest standards. • Ensure quality service to organize in-person, hybrid and/or virtual events. • Support the identification and be responsible for liaising with service providers such as venues, information technology, stationery, and catering that meet the required standard for such events. • Ensure that the implementation process is consistent with the established timeline of the event. • Ensure the events are planned and organized according to UNDRR guidelines for sustainability, gender equality and accessibility. • Develop the Run of Show for the events and support the timely implementation of the event´s agenda. • Liaise with vendor and other technical teams of the host country for production aspects for the event. Session and content preparation • Support the development of event agenda and program considering hybrid, virtual and in-person public engagement. • Develop concept notes, guidelines and presentations for the event’s planning and execution. • Support virtual briefing calls with stakeholders as needed and meetings with panelists. • Support development and review of scripts, speaker matrix (speaker info spreadsheet) and interactive tools plan for each session. • Coordinate the delivery of any support materials to be used in the events. • Coordinate the compilation and delivery of materials that support interpretation, such as ppts, speeches and talking points. • Coordinate the use of tools needed to turn the event into an interactive experience for the audience, including polling, Q&A, home feed, and others. Outreach activities: • Draft website announcements. • Support to communications planning (press and social media). • Coordination of production of multimedia assets (outreach videos, pre-records, graphics). Support to post-event activities: • Participants survey • Certificates to participants • Event reporting • Lessons learned workshop
Qualifications/special skills
A bachelor’s degree in social sciences, communication studies, or a related field is required. A post-graduate degree in a relevant field (project management, event management, or communications) is desirable. Five (5) years of work experience in event coordination and communication, including experience with high-level events and organizing international conferences and meetings, is required. Experience with superior writing and editing is desirable. Experience with the United Nations system or any other similar international organization is desirable
