Our employment opportunity of the moment: Executive Assistant

PPB is responsible for driving the International Development and Research Centre’s pursuit of increased global impact and the achievement of Sustainable Development Goals. Comprised of five distinct program divisions:

PPB’s continued development of external partnerships is fundamental to IDRC’s 2030 strategic research for development goals.

The branch is currently seeking to fill a permanent Executive Assistant position in the Education and Science Program Division to be based in Ottawa (Hybrid Mode*).

You have:

  • A college diploma in administration or an equivalent combination of education and experience in business administration, office administration or related field.
  • Proficiency in French and English (reading, writing, and speaking).
  • Recent and significative experience in providing executive, administrative and operational support in a senior manager’s office including the management of corporate communications and scheduling.
  • An in-depth understanding of executive, administrative and operational procedures.
  • An enhanced knowledge of the logistical components required to effectively support corporate level collaboration.

  • A skilled communicator with great interpersonal skills and the ability to provide instructions, advice, guidance on operational and administrative activities while maintaining confidentiality.
  • Competent in planning, organizing, and coordinating daily activities while paying close attention to details.
  • Resourceful and dependable, able to work under pressure and meet deadlines while juggling competing priorities.
  • A problem solver who can get to the root cause of an issue and apply that knowledge to support efficiency in divisional operations.
  • Adept at using Microsoft Office with particular attention to SharePoint and Outlook management.
  • A team player within a multidisciplinary group of people from diverse cultures.

You are interested in:

  • Advancing IDRC’s mission and strategic goals by supporting the current and future activities of the Program Division.
  • Coordinating the daily activities of the Program Director and prioritizing the incoming flow of work.
  • Liaising with internal and external stakeholders, screening correspondence and analyzing information required for a response.
  • Conducting daily coordination and logistical support using corporate systems.
  • Facilitating cross-functional collaborations and sharing of information.
  • Joining an organization that values and models diversity, inclusion, and equity.

*Hybrid Mode: Have the flexibility to work in hybrid mode (Minimum 3 days out of 10 in the office).
