Position Overview
The Executive Assistant, VP Global Health Strategy is responsible for providing front desk coverage, executive support for the Vice President of the UN Foundation, and operations assistance to the Global Health Team.

The Executive Assistant to the VP Global Health Strategy reports to the Vice President – Global Health Strategy, and is a member of the Global Health team, supporting the Vice President of the UN Foundation and other Global Health Team leadership as needed and working closely with other members of the team.

Essential Functions

  • Provide front desk coverage and greet visitors warmly and professionally – serving as the first point of contact for guests to the VP Global Health Strategy.
  • Serve as the Global Health Team front desk, answering and redirecting all incoming calls.
  • Monitor visitor access and maintain security awareness, liaising with building management on security procedures and lists required for visiting guests.
  • Maintain schedules of Global Health Team meetings, events and conference rooms bookings, and help to direct meeting guests.
  • Collect and distribute incoming mail and parcels to staff as required.
  • Manage the Vice President for Global Health Strategy’s schedule and book all domestic and international travel.
  • Provide executive support to the Vice President Global Health Strategy of the UN Foundation.
  • Support events and meetings, including set-up, breakdown, and catering.
  • Draft correspondence, such as emails or letters, and other documents, such as memos and/or presentations for the Vice President Global Health Strategy.
  • Conduct occasional research.
  • Assist the Global Health Team with office budget, including supporting the processing of invoices and grant documentation.
  • Provide further support to the Global Health Team as requested.

Selection Criteria

  • Bachelor’s degree or equivalent experience required.
  • At least two years of administrative or executive support experience required.
  • Experience managing complex schedules and travel required.
  • Excellent verbal and written communication skills required.
  • Attention to detail and high degree of organization is a must.
  • Meeting and event planning experience a plus.
  • Proficiency in Microsoft Word, Excel, Access and PowerPoint.
  • Graphic design experience a plus.
  • Experience with multi-line high call volume phone system required.
  • Excellent telephone etiquette, and interpersonal relationship skills required.
  • Ability to work independently as well as a member of a team.
  • Demonstrated ability to prioritize multiple competing priorities.
  • Ability to take initiative; self-starter.
  • Dependability and punctuality a must.
  • Ability to work under pressure, multi-task and handle stress.
  • Ability to meet regular attendance/tardiness policy.
  • Demonstrated interest in international affairs and the work of the United Nations.
