Job Purpose

This exciting position will manage the executive support to the work of the Chief Financial Officer (CFO) and ensure the efficient coordination of the office of the CFO in its internal and external facing activities.

You will assist the Chief Financial Officer in the planning and monitoring of the Directorate’s long and short-term goals and coordinate activities accordingly.

About you

We are looking for a candidate who has strong administrative skills and the ability to organize and manage systems for information flow, filling data management, and diary management. The candidate will also have sufficient experience in scheduling and long-term planning to meet objectives.

The successful candidate will have been involved in coordinating meetings, building agendas, taking minutes, and preparing reports.

Main Responsibilities

  • Manage all aspects of the CFO’s complex and variable diary: ensure a regularly updated, well-organised and accessible schedule. Exercising judgment on behalf of the CFO to support an effectively prioritised workload.
  • Plan and oversee all operational aspects of the CFO’s missions: develop mission schedules and objectives; liaise with hosts and partners; prepare and collate documentation, security briefings and other information required; organise travel and logistical arrangements.
  • Proactively manage the Office of the CFO’s budget and expenditure: keep detailed understanding of the International Secretariat’s financial procedures; process expenses, payments and invoices; monitor and report regularly on expenditure and variances.
  • Lead on coordinating support functions and work closely with Programme Coordinators outside of the directorate to ensure collaboration, ongoing communication, alignment of timelines, and efficient directorate-level processes.

Skills and Experience

  • Experience of planning missions and organizing international travel.
  • Excellent written skills to draft correspondence and other documents on behalf of the CFO.
  • Experience in the planning, organization and delivery of projects and events.
  • Experience supporting senior leadership, confidence to interact with high level partners and stakeholders, and a demonstrated commitment to providing an excellent level of support.
