Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Finance & Administration Officer
About the Job
Responsible to carry financial and administration tasks to respond to the needs of program and technical departments, and to support field offices finance and administration teams while building their capacity.
Geographic scope: Kahramanmaraş Field Office
This role has a country focus and ensures compliance to DRC procedures and guidelines within the country. The role contributes to the development of country strategies, which are translated into action plans and day-to-day tasks. The role provides support and/or technical guidance to country operations while overseeing country activities.
Main responsibilities
Financial support
- Assist with preparation of the budget.
- Implement financial SOPs, policies and procedures.
- Establish, maintain and reconcile the general ledger
- Prepare and reconcile bank statements.
- Ensure data and transactions are properly recorded and entered into accounting systems.
- Prepare Income statements and balance sheets as needed.
- Assist with annual audit.
- Maintain financial files and records.
- Maintain contract follow up on a monthly basis, and make sure all contracts are renewed, closed, or paid on time.
- Filing, scanning, and sending monthly financial documents to country office.
- Correctly use DRC Dynamics functionalities in area of concern
Cash Management
- Establish and maintain Cash Management.
- Monitor cash reserves and investments.
- Prepare monthly cash requests and prepare weekly cash reports.
- Carry out cash and bank transactions for field offices.
- Cash Book registry update on a daily basis, and cash count on a weekly, and monthly basis with Base Manager or the project manager.
Facilities Office management
- Ensure all office infrastructures are appropriate, safe and functioning (i.e. security system, health and safety, communications, etc.)
- Oversee all aspects of office maintenance and cleanliness.
- In conjunction with the safety team, ensure safety and security issues for the general security of the office.
- Ensure insurance plan is in place for all office buildings and equipment, and updated at all times.
- Maintain and update lease agreements and coordinate the renewal of leases for office premises, guesthouse and expatriate housing. Act as the focal point for liaison with landlords.
- Coordinate handover of leased properties and ensure security deposits are refunded on timely basis.
- Ensure repairs and maintenance of facilities in compliance with DRC standards and procedures.
- Manage the administration team to ensure overall efficiency.
Guesthouse management
- Management of the guesthouse ensuring all infrastructures are safe and functioning.
- Oversee all aspects of upkeep and cleanliness at the guesthouse.
- Ensure guesthouse stocks and supplies are in place, and monitor their utilization.
- Ensure the Guesthouse Handbook is updated on regular basis, and available at the guesthouse.
- Act as focal point for guesthouse and expatriate houses, liaise with property landlords on any matters arising. Oversee repairs as required.
Administrative support
- Ensure all utility payments are done on timely basis.
- Ensure meetings for the senior management team are organized and other administrative support as may be required.
- Act as backup to the Travel Officer.
- Any other duties as requested by Base Manager.
Reporting
- Assist with collecting, reviewing, correcting and filing all financial progress reports from the partners
- Support financial report preparations
- Submit progress and status reports
About you
To be successful in this role, you must have university degree in Business Administration, Finance or similar – or equivalent professional qualification

Required experience and competencies
Minimum requirements:
- Minimum 2 years of work experience including minimum 1 year with an international NGO in similar role
- Computer proficiency highly desirable, particularly the use of MS Excel
- Advanced English proficiency
- Fluency in Turkish
