POSITION SUMMARY
The Finance and Procurement Sr. Assistant will provide support to the LAC Regional Office and as required to other country offices in the region without or with newly installed Operations Enabling staff. The Finance and Procurement Sr. Assistant’s role will enable the successful delivery of regional and country programs through finance and procurement tasks which include: understanding and proficient use of GGGI’s systems (ERP, and GGGI Online), raising requisitions and invoices, supporting minor purchases, low and medium value procurement processes, , supporting budget related requirements from countries, providing finance and procurement training to new and existing OED staff, providing support in the organization of events, and supporting finance and procurement needs of regional initiatives. Delivery of all these tasks shall be completed in compliance with GGGI policies, rules, guidelines, decisions, and processes.
PURPOSE
- Carry out finance and procurement operations/transactions that require full understanding of GGGI’s rules, procedures, systems and tools, complying with established GGGI policies, standards, and donor requirements.
- Provide finance related guidance and/or support troubleshooting to guarantee the programs’ successful and timely delivery.
- Support procurement related tasks, in coordination with operations staff and HQ when necessary.
- Deliver finance and procurement training to new and existing OED staff in the region, Project Managers and new joiners in the organization.
- Be responsible for regularly updating training material as required.
- Support the budget monitoring of the regional office.
- Assist in finance related tasks that might be required from HQ to the regional office, such as review of financial reports.
- Provide logistics support for the organization of workshops, conferences, meetings, retreats, and other events.
- Other procurement and finance related support as needed and/or requested.
ENGAGEMENT
- Work closely with the LAC Regional Director, the Regional Operations Senior Associate, and other GGGI Regional office staff, and as requested, other country office staff, to support finance and procurement aspects of program and project implementation.
- Engage with internal and external stakeholders to guarantee compliance of GGGI’s rules when carrying out due processes.
- Liaise with regional office staff, country teams, and HQ staff as required for the performance of duties.
- Support tasks related to the financial, procurement and operational delivery of regional office projects.
DELIVERY
- Support finance and procurement staff in administrative functions related to project finance, budgets, and procurement in compliance with donor conditions, GGGI’s Rules and Regulations, and internal systems.
- Review financial reports and budgets.
- Support and enhance the monthly budget review both in the regional office and country programs, as required.
- Support high quality document management and record keeping of project documents through GGGI’s internal tools and systems.
- Coordinate the development of presentations, documents, and tools as appropriate.
- Support the onboarding of new staff in the region.
- Build OED individual capacity, through training, for new and existing OED staff, PM and other relevant non-OED staff in LAC region on finance and procurement.
REQUIREMENTS
QUALIFICATIONS
- Bachelor’s degree in business administration, finance, accounting, or other related field of study.
- Preferrable at least 3 years of relevant experience in office management or administration roles, building capacity, finance and minor procurement functions.
- Good level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, etc.)
- Knowledge in ERP or financial software.
- English proficiency is required.
- Ability to prepare written reports and business correspondence, both in Spanish and English
- Experience/knowledge of green growth, climate change and sustainable development is a plus.

WORKING CONDITIONS
The Finance and Procurement Sr. Assistant is an X5 grade level in GGGI’s Mexico national salary scale. The salary range for the position starts at USD 20,874 per annum, depending on qualifications and experience. GGGI provides 15% of base salary towards retirement plan/long-term savings, 27 days of annual leave, and private health insurance that covers dental and vision.
