Duties and Responsibilities
Background
This position is located at United Nations Economic Commission for Africa, Division of Administration, in the Facilities Management Section. The Droughting Assistant reports to the Chief of PPIU & the Facilities Management Officer.
RESPONSIBILITIES:
Within delegated authority, Draughting Assistant is responsible for the following duties but not limited to:-
1. Assess facilities of all types with the view to prepare/upgrade them for FMS use;
2. Prepare and maintains technical drawing of all types of facilities;
3. Prepares concept or detailed design drawings for projects assigned, referring to new or existing facilities;
4. Prepares all required graphical, analytical and written documentation of the approved designs by Head Major Capital Sub-Unit;
5. Assist the Chief FMS in the preparation of the Scope of Works/Requirements of projects;
6. Assist in the monitoring and supervision of the executing of projects by contractors final consultants in accordance to the contract and best professional practice;
7. Prepare renderings and presentation drawings;
8. Prepare checks or collates drawings, bill of material, cost estimates, timelines, etc. for projects prepared in-house or outsourced;
9. Participates in maintaining all section management tools (technical or administrative forms, tables and databases);
10. Assist the Head Major Capital Sub-Units and the Liaison office to interface with project clearances and during technical discussions;
11. Assist all other sub-units of the section in all graphical and technical documentation aspects
12. Realizes any other Ad hoc duties when and s required by the Chief.
13. Sections/Units and forward to the Staff Assistant of the Section;
14. Assist in maintaining chronological and subject files (in hard and soft copies) and in maintaining data base for the use of the Section;
15. Operate a variety of office equipment e.g. photocopier, facsimile, printer, scanner, tec. And inform the Staff Assistant when defaults arise for further appropriate action ;
16. Take inventory of stationary materials of the Section and advice the Staff Assistant to take further appropriate action;
17. Assist in the operation of FMS Help Desk by answering to and registering queries for repair and maintenance services and transmit requests to concerned staff for appropriate action;
18. Assist in receiving/registering incoming and outgoing correspondences;
19. Assist in managing ads posted on notice boards and receive request for posting ads following the prevailing rules;
20. Performs other duties as required.
PHYSICAL REQUIREMENTS:
Work involves standard office setting, with ability to operate office equipment and drafting software, printers and scanners. Also involves work in standing and walking for long hours in many office areas in the compound. Both environments may involve exposure to dust and/or mold.
Qualifications/special skills
Highschool completion is required
Draughting and related experience is required
Languages
Fluency in Spoken and listening English is required
