POSITION SUMMARY
The Front Desk Assistant is an integral part of the Innovation Hub’s customer support. This position is dedicated to supporting Innovation Hub customer service and programmatic efforts. This individual is the first person that guests will meet when they enter the Innovation Hub. The Front Desk Assistant will be responsible for guiding visitors and members around the Innovation Hub, answering questions, and maintaining a clean front desk space, keeping the coffee bar stocked, and other activities related to customer service.
The Assistant performs various administrative duties that supports the Innovation Hub team and has oversight of the master Hub calendar. Position Schedule: This is a part-time position of up to 25 hours weekly. Hours include evenings two days a week (Tuesday and Thursday until 8pm) and two Saturday’s a month with the Hub being open from 10-2pm on the second and fourth Saturday each month. Rate: $16 hourly
POSITION RESPONSIBILITIES
Major Responsibilities Monitors and answers the phone in a professional manner and routes calls as necessary. Responds to all inquiries and meeting requests efficiently. Delivers excellent customer service by greeting guests and visitors in a timely, positive manner. Provides general information to visitors, guests, and members about the Innovation Hub and conducts tours of the building. Helps maintain workplace security by overseeing member check-ins and maintains visitor logs. Directs clients to appropriate meeting areas and notifies relevant team members of their arrival.
Daily oversight and management of the membership database system. Acts as the primary point of contact for assisting members and guests complete membership or class registrations, create accounts, add or remove payment methods, reserve facilities, and any other membership support needed. Prepare reports for members, programs, reservations, and private lessons to provide to Member and Education Leads. Communicates with class participants to give information regarding classes and follows up with participants when items are ready for pickup (e., ceramics and glass fusion).
Maintains inventory and an adequate level of general office supplies, concessions, and coffee. Processes supply orders of Hub store items. Assists with a variety of administrative tasks including, but not limited to copying, sorting and distribution of mail, processing invoices, taking notes, assisting with event set up and tear down, and preparing meeting rooms. Support the Education team with programs that require sign-in sheets, or any other data needed. Assist members with answering general questions and oversight on the process and handling of equipment available at the Hub for use. Perform other ad-hoc administrative duties as assigned.
POSITION QUALIFICATIONS
Education: High school diploma or equivalent required. Experience: Prior customer service experience is preferred. Computer/Technical Skills: Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Teams, etc.). Google and SharePoint knowledge a plus. Experience preferred in database knowledge. Accurate and precise attention to detail. Communication
Skills: Excellent interpersonal skills. Ability to write clearly and concisely. Team oriented. Language: Fluency in English is required. Required Travel: Minimal to no travel. Position-Specific Skills: Strong organizational skills coordinating a variety of tasks simultaneously. Ability to work in a team-oriented environment. Experience as “maker” (artist, craftsmen, engineer, musician) preferred. Physical Demands: Must be able to lift up to 25 lbs.
This position typically requires sitting for long periods of office work, standing, bending, and reaching. Must be authorized to work in the United States.
