About the position
Based either in Montpellier or Rome, the Assistant will play a key role in a small scientific team responsible for managing a long-term, international program to support 11 CGIAR genebanks. Working under the supervision of the Genebanks’ Senior Director, the Assistant will be a focal point for scheduling, coordination, logistics, administration and travel to support team members and their activities.
Responsibilities
- Support administration, formatting, filing and processing of program documents, spreadsheets, proposals and reports.
- Schedule and organize remote and physical meetings and events (including invitations, air tickets, hotels, etc.). This may involve occasional international travel.
- Assist with payment authorizations, travel arrangements (tickets and payment advances), and travel expenses claims.
- Support contract and procurement requests together with management processes.
- Assist with preparing ‘meeting minutes’, when necessary.
- Manage email lists and communications to staff and, in some instances, to partners and funders.
- Act as focal point for information and other requests, directed towards the Genebank Team.
- Organize and manage electronic and hard copy files, ensure documents are made available as appropriate.
- Support the Senior Director and scientific staff, in managing budgets, project monitoring, reporting, fundraising, etc.
- Contribute to team discussions, communications and activities, carrying out miscellaneous duties as agreed.
Requirements

- Technical diploma or equivalent in administration, logistics, accounting, project management, international relations or related fields (University degree is desirable).
- Well-developed skills in personal organization, time management, problem-solving, and checking for accuracy.
- Relevant work experience in the field (minimum 5 years desirable).
- Proficiency in Microsoft Office package (Word, Excel, PowerPoint, Teams and Outlook) and using of enterprise software systems.
- Advanced command of the English language, both written and spoken.
- Good communication skills and appreciation of diverse cultural contexts.
- Sound knowledge of standard office procedures.
- Strong experience in processing procurement requisitions and managing schedules.
- Experience in organizing travel and logistics.
- Experience of organizing large meetings.
- Good communication skills to interact with partners, collaborators and staff at different levels of seniority from different countries.

Terms of employment
This is a locally recruited position which will be based either in Rome or Montpellier. All benefits are denominated and paid in Euro. The salary is level 5, on a scale of 14 levels, with level 14 being the highest. The salary range will be established in accordance with the regional/country standards. The remuneration package includes a competitive salary, leave provisions, medical and life insurance, and non-contributory retirement plan. The contract will be for a period of 1 year, subject to a probationary period of 6 months, and is renewable based on performance and availability of funds.
