We are seeking a Global Affairs and Digital Communications Administrator for a 2-year-regular position (renewable) to work within the Global Affairs and Communications Unit at the International Vaccine Institute in Seoul, Korea. (Duty station: Seoul, Korea)
Job Description

This role provides essential administrative support to the Global Affairs and Communications team. The Administrator will assist in executing global communication strategies, coordinating digital media activities, and ensuring the smooth operation of global affairs and communication-related tasks, all in compliance with IVI policy.

Key Roles & Responsibilities
1. Administrative Support for Global Affairs and Communications activities
  • Provide administrative assistance to the Global Affairs and Communications team
  • Provide assistance in scheduling meetings, managing calendars, and coordinating travel arrangements for Deputy Director General of Global Affairs and Communications.
  • Assist with documentation, reports, and presentations for internal and external meetings.
2. Digital Communications Assistance
  • Help manage and update IVI’s digital platforms, including social media accounts, websites, and email marketing tools.
  • Assist in the creation, proofreading, and scheduling of digital content.
  • Monitor digital media channels and assist with social media engagement and community management.
  • Maintain a digital library of communication materials, including press releases, reports, and media assets.
  • Assist in the preparation and editing of communication materials to ensure accuracy and consistency.
3. Assistance with Global Affairs and Communications’ Advocacy Activities
  • Support the organization of global events and campaigns, including logistics, invitations, and materials preparation.

Job Requirements and Qualifications
1. Education Requirements
  • Bachelor’s degree in communications, International Relations, Marketing, Business Administration, Public Health or a related field.
2. Related Field Work Experience
  • 2+ years of experience in an administrative role, preferably within global communications, public affairs, or digital media.
3. Technical and Professional Skills / Knowledge
  • Strong organizational skills and the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with digital communication tools and platforms.
  • Attention to detail and accuracy in documentation and content management.
  • Ability to work collaboratively with team members and handle sensitive information with discretion.
  • Experience with social media platforms and basic digital analytics is a plus
4. Language Proficiency
  • Fluency in English and additional languages, including Korean, is an asset
