This is a hybrid position which requires 8 days/month in the office. You will be based in our office in Washington DC. Existing work authorization is required at the time of application submission as WRI is unable to sponsor any visa work sponsorship for this position. To be eligible for this position in US, you must be a resident of DC, Maryland or Virginia at the start of employment.
About the Program:
The Executive Office is formed of the President and CEO, five Managing Directors, the Chief Administrative Officer, General Counsel, Global Board Affairs, WRI Partnerships and key staff who work with leaders in government, business, and the nonprofit community to forge alliances that further the Institute’s work; with media to spread WRI’s messages; and internally with staff across the WRI network on the development and resourcing of programmatic work.

The Global Operations Manager role is responsible for managing the operational, financial, and administrative processes of the Executive Office, which includes Legal, Global Board Affairs, and Partnerships teams. The Global Operations Manager will provide financial oversight of the Office’s annual $8-9 million budget, serving as the primary liaison between the institute’s core functions (i.e. HR, Grants & Contracts, Finance & Accounting, and Operations), promoting efficient management of a global teams with staff across the WRI network – including the US, Europe, Mexico, and Africa. This position reports directly to the Chief Administrative Officer, with an expectation to responsibly represent the interest of each Global Executive principal, including Managing Directors, General Counsel, Head of Global Board Affairs, and Director of Partnerships.

What will you do:

Budgeting and Financial Management (50%):
  • Manages the annual budget cycle for all components of the Executive Office, including special projects as needed
  • Leads the Office’s quarterly and annual financial review meetings and responds to action items, and financial review questions
  • Develops and implement approaches to manage the Office’s finances efficiently and transparently
  • Oversees delivery of special projects against operating budgets
  • Serves as the Executive Office’s point of contact for budgeting and financial management – representing the Office in all finance and operations-related meetings, proactively coordinate with core functions on budget, contracts, accounting, and other concerns, and contribute to the improvement of institutional policies and processes
  • Ensures the timely and accurate submission of invoices, progress and financial reports, while maintaining compliance with WRI funding, budgeting, contracts, and procurement processes, policies and deadlines
  • Frequently analyzes finances and staff labor, assesses against targets, and consults Chief Administrative Officer when appropriate
Program Management (30%):
  • Identify operational issues and develop approaches to more efficiently manage the Executive Office; may include the development and roll-out of standardized financial reports for each sub-group housed under the Executive Office umbrella (i.e. Managing Directors, General Counsel, Global Board Affairs, Partnerships)
  • Assist Chief Administrative Officer and other Executive Office leads to ensure compliance with complex international commitments and transactions
  • Engage with partners, consultants, and vendors on financial and compliance-related concerns, proposing and implementing solutions in collaboration with project managers and WRI’s core function staff
  • Consistently connect with Program, Core Function, and International Office staff to ensure successful cross-functional collaboration
  • Proactively track, and address risks as needed – in cooperation with the Chief Administrative Officer, and other leadership
  • Manage recurring and ad hoc reporting processes for the Executive Office, which include WRI Quarterly reviews, individual team progress, funder reports, etc.
  • Coordinate with Executive Office staff on submission of proposals – working closely with other core function staff and IOs across the WRI matrix to ensure successful collaboration and execution
  • Serve as the Executive Office expert for WRI systems, and processes
  • Ensure close communication and coordination between the Executive Office teams, as well as with relevant IOs, Programs and Centers working on relevant projects, risks and events to ensure priorities are well-coordinated institution-wide
Leadership, Human Resources, and Personnel Management (20%):
  • Maintain knowledge of up-to-date WRI policies and change management initiatives, ensuring Executive Office staff remain well-informed, trained, and in compliance
  • Coordinate with peers and senior leadership to streamline staff on-boarding, and departures
  • Assist with staffing issues, including inter-office personnel management, recommendations to managers on pay equity, and frequent engagement with HR staff
  • Develop and analyze bi-weekly timesheet guidance for Executive Office, and extended teams
  • Periodically analyze and report leave balances, and encourage staff to maximize benefit to avoid forfeiture
  • Work in partnership with Chief Administrative Officer to influence a positive working culture within the team and across the institute
  • Provide trusted support on issues around staff recruitment, retention, performance, and growth
What will you need:

  • Education: You have a completed a Bachelor’s degree in a relevant field
  • Experience: You have 7+ years of full-time relevant work experience in development, financial management, and operations, preferably in a non-profit setting
  • You have experience with financial software such as TM1 and Cognos
  • You have familiarity with database software and management (such as Salesforce, Asana, theory of change or other evaluation softwares)
  • Languages: You have verbal and written proficiency in English
  • Requirements: Existing work authorization is required where this position is based. WRI is unable to authorize visa work authorization
Potential Salary: US salary range is between 96,000 and 116,000 USD. Salary is commensurate with experience and other compensable factors.
