The position is to be filled as soon as possible, with an initial contract duration of one year. There are good prospects for an extension. Employment location will be Kyiv, Ukraine, with frequent travel to other Office locations within the country.
Alliance 2015 members Welthungerhilfe (WHH) and Concern Worldwide have been working together in Ukraine since February 2022, using their combined resources and reach to ensure a quick and effective emergency response to assist the crisis-affected populations. As Grants Coordinator, you will support the Head of Programmes in the design, coordination and reporting of the program portfolio in Ukraine. You will work closely with Heads of Projects in order to ensure high quality and compliant donor and internal reporting.This position will help you gain experience with donors such as AA, BMZ, OCHA, SDC, ECHO and working closely with national NGOs.
Your responsibilities
- Identify, assess and pre-select new project ideas on the basis of the country programme and in line with the strategy
- Under the supervision of the Head of Programmes, serve as mission level focal point for proposal development, organize project design kick off meetings, coordinate and contribute to its writing
- Maintain, manage and update a programme toolbox comprised of all tools developed for project design, implementation, monitoring and reporting under the supervision of the Head of Programmes
- Monitor project reporting schedules, remind Heads of Projects, the programme and finance teams and other relevant departments on upcoming reporting deadlines, and ensure reporting occurs correctly and in due time to Head Offices and donors
- Revise or elaborate narrative reports before submission to the donors or the donor unit in accordance with internal protocols
- Serve as the in-country focal point for the project management platform (ProMIS) and support capacity building of international and national staff to effectively use this platform
- Support capacity building of project teams and partner organizations as requested
- In coordination with the Head of Programmes, ensure that JERU (Joint Emergency Response Ukraine) is represented at external meetings of clusters, donors and UN agencies
- Provide support to the Head of Programmes to develop and implement effective project cycle management
- In coordination with the Country Director, and under the supervision of the Head of Programmes, coordinate the writing of annual reports and ensure their timely reporting
Your profile
- A university or college degree in humanitarian action, humanitarian project management, or similar (e.g. NoHA, Bioforce)
- First grant coordination, project management or similar experience in the Humanitarian sector (at least 12 months)
- German donor experience (such as BMZ/AA) would be an advantage
- Proven knowledge of proposal design and its key elements such as needs analysis, logframe and theory of change
- Knowledge on basic needs assistance, protection, and economic recovery programming would be an asset
- Coordination and organisational skills, including ability to work under pressure
- Excellent communication skills and intercultural sensibility
- Readiness to receive necessary vaccinations for working in Welthungerhilfe’s project countries
- Excellent spoken and written English; knowledge of Ukrainian is an asset
