About you

Are you a skilled Grants and Reporting Coordinator looking for a new challenge? Join our team and play a crucial role in developing high-quality proposals and concept notes to secure funding from donors, and to deliver informative reports to update donors on implementation of ongoing programs. You will work closely with Technical Advisors and other stakeholders to ensure projects are operationally viable, accurately reflect the cost of doing business, and align with RI and donor strategic objectives, gender, protection, and accountability. In addition, you will have the opportunity to support capacity building initiatives and workshops for project cycle management, making a tangible impact on our work in Syria. Essential Responsibilities and Duties

 New Business Development

·       This position will work under the supervision of  the Grants and Reporting Manager and closely work with the Northeast and Northwest Syria Hub teams on high-quality funding applications (proposal narrative, budget, and other required annexes)

·       Under the supervision of the Grants and Reporting Manager, the GRMC will lead on the design of new projects with the wider WoS team and  ensure reflection of RI and donor strategic objectives, gender, protection, and accountability in addition to ensuring projects are operationally viable and accurately reflect the cost of doing business.

·       Support the process to ensure proposals and concept notes are developed in a timely manner with realistic deadlines, and that these are communicated and understood by internal stakeholders (WoS office, hubs, region, and HQ).

·       Support the GWRM to ensure that prior to submission all proposals are reviewed and approved by management and HQ, as appropriate.

·       Support the GWRM on any pre-award modification of programs in response to changing contexts and implementation realities, ensuring RI and donor regulations are applied throughout the process.

·       Support the wider Grants team on post-award modification of programs, with a particular focus on technical narrative revisions and changes to the logical framework and the budget.

·       Support the GWRM in tracking funding opportunities, including proposals, submission deadlines, and financing available. Ensure appropriate donor and RI proposal formats are available.

·       Support the GWRM and finance team with budget development and ensure consistency with program planning.

·       Together with finance, program, and operations focal points, support to Value for Money (VFM) initiatives across RI Syria.

·       Keep an up-to-date database of all documents related to proposal development and reporting.

·       Support the Grants and Reporting Manager and the Deputy Country Director Program Quality to prepare for stakeholder meetings.

·       As assigned by the GRM, for all proposals and reports, lead the coordination with the Regional Support Office and the Global Support Office. Ensure timely sign-off.

·       Compile all documents for donor submission by the GRM/ SMT members.

 

Report writing

·       Maintain an updated calendar of project report obligations and alert the key focal points in a timely manner.

·       Follow up with the technical advisors, program managers, MEL, and other WoS focal points on progress of project implementation and the collection of data according to the means of verification;

·       Support the GRM to coordinate the collection of information and support the drafting of donor reports, including required annexes.

·       Actively participate in the Award Review Meetings and monitor progress on active awards.

·       Maintain and update the online-shared Project Management tool on a regular basis. Share information with SMT and Regional focal points, as required.

·       Support the GRM in the coordination with the Advocacy and Communications Manager to ensure quality success stories are included in the donors’ reports.

 

Capacity building

·       Support the GRM in providing capacity building to the program and grants focal points in the hubs in proposal and report writing (to RI and partners).

·       Support in the organization of workshops for Project Cycle Management in coordination with the program teams (RI and partners), including all the tools required, to be led by the DCD-PQ and Deputy Hub team leaders.

·       Support the GRM in the preparation of any grants workshops for RI and partners’ program and operation staff on donor guidelines, regulations, and strategies, led by the DCD-PQ, Regional Awards Manager, and compliance focal points.

 

Safeguarding and conduct

·      Uphold and promote RI’s commitment to ensuring the safeguarding and safety of the vulnerable communities we serve.

·      Consistent with RI’s safeguarding and protection policies, contribute to ensuring that all those who come into contact with Relief International staff and the communities we serve can be trusted to work safely with them

·      Support and develop systems that create and maintain an environment that prevents sexual exploitation and abuse and promotes the implementation of the Code of Conduct and safeguarding policies.

·      Work collaboratively with the Global Safeguarding Manager to advocate for the inclusion of safeguarding activities and resources within program

·      Ability to demonstrate knowledge of donor requirements of safeguarding standards and protection from exploitation and abuse

Role requirements.

Experience and skills required for the role.

  • This position will require a demonstrated ability to achieve results in a demanding and fast-paced environment.
  • Strong communication and coordination skills.
  • Fluency in written and spoken English is required, with proven ability to proofread and edit documents. Proficiency in Arabic is an asset
  • Excellent interpersonal communication skills and ability to work well in a team and in a multi-cultural setting;
  • Ability to deliver quality work under pressure and in challenging circumstances;
  • An academic qualification, at a university Bachelor’s level or equivalent in development studies, social sciences, global studies, or related field.
  • 2-3 years’ experience in humanitarian or development sector, preferably in program development, funding, and/or grants management. Specifically, experience with reporting and proposal development including narratives, budgets, and results in frameworks is required.
  • Proficiency in Microsoft Word and Excel.
