Wanted: Office crusaders! Admin superstars! Improvement specialists! Our Group Operations team is responsible for the efficient and effective running of our Support Services based at Melbourne Head Office. Contributing to our organisational capability and efficiency; you will be the friendly and welcoming face as people enter the door whilst supporting the team to deliver on projects that make a difference to children in Australia and the Pacific.

Where you come in:

In this full time, 12 month maternity fixed term contract position based in Carlton, Melbourne* you will work on running and coordinating the day-to-day administrative duties of the Group Operations team. This essential role provides support to the Group Operations function (Legal, Risk, IT, Property & Fleet) through various general administrational duties such as scheduling meetings, maintaining Melbourne Office facilities, coordinating sub- tenancies, distributing mail correspondence, invoice management and other various ad hoc duties.

You will be part of our COO – Group Operations team and report to our Executive Assistant to Deputy CEO & COO.

*4 days a week at Head Office, 1 day per week remote

You will make an impact by:

  • Providing a welcoming and positive atmosphere for all visitors, guests and employees
  • Being a point of contact for a range of staff, external stakeholders and sub tenants
  • Assisting Executive Assistant to Deputy CEO & COO with adhoc administrative duties and Group Ops team planning
  • Ensure timely and accurate processing of invoices and maintain up to date inventory
  • Accountable for the overall presentation of the national Head Office including meeting rooms, collaboration spaces and common areas, maintenance
  • Pro active approach to simplifying and improving office processes and procedures

You’re organised and efficient and comfortable in taking ownership and responsibility. You are friendly and approachable and have a ‘can- do’ attitude. You have an ability to multi task but stay focused and calm. You want to make the office a welcoming space for all our staff and support the team in making a difference.

This role requires:

  • Experience in an administrative role with strong time management and organisational skills, attention to detail
  • High quality customer service skills including the ability to build rapport and strong relationships
  • Highly developed computer literacy skills (Microsoft Outlook, MSTeams, Excel)
  • Ability to work in an agile and quickly changing environment while maintaining professionalism
  • Must live in Melbourne and be able to work in the office 4 days per week, 1 day remote
